Payroll/Bookkeeping Specialist 

DEPARTMENT: Finance 

REPORTS TO: Chief Financial Officer (CFO) 

Role Summary: 

As a key member of our finance team, the Payroll/Accounting Specialist is responsible for ensuring the accuracy and efficiency of our payroll and accounting operations. This role requires a meticulous eye for detail, a strong understanding of payroll processes, and the ability to manage multiple accounting tasks. The successful candidate will oversee payroll administration, handle accounts payable and receivable, and support the CFO in financial reporting and analysis. Your expertise will contribute to the financial health of the company by ensuring compliance with relevant regulations and by providing accurate financial information to support decision-making. 

Key Responsibilities: 

  • Oversee and manage the entire payroll process, ensuring accurate and timely payments to all employees. 

  • Process accounts payable and receivable, including invoice entry, payment processing, and reconciliation. 

  • Prepare and maintain accurate financial records, including general ledger entries, bank reconciliations, and financial reports. 

  • Assist in the preparation of monthly, quarterly, and annual financial statements. 

  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices. 

  • Coordinate with the marketing department to ensure accurate employee records. 

  • Support the CFO in budgeting, forecasting, and financial analysis activities. 

  • Develop and implement accounting procedures and policies to enhance efficiency and accuracy. 

  • Handle inquiries and resolve issues related to payroll and accounting. 

  • Collaborate with other departments to provide financial insights and support as needed. 

Qualifications: 

  • Proven experience in payroll and accounting roles, preferably within the construction industry. 

  • Strong knowledge of payroll processes, accounting principles, and regulations. 

  • Proficiency in accounting software (e.g., QuickBooks, Xero) and payroll systems (e.g., ADP, Paychex). 

  • Exceptional attention to detail and accuracy. 

  • Excellent organizational and time management skills. 

  • Strong interpersonal and communication skills. 

  • Ability to work independently and as part of a team. 

  • Relevant certifications (e.g., CPP, CPA) are a plus.
