Full Job Description

The Office Manager is responsible for maintaining the accounting records of USFAAF’s clients. This is a key role in the day-to-day operations of the organization. Duties include recording invoices for accounts payable and receivable, filing sales tax and processing payroll. Additional responsibilities include management of the facilities and office equipment. The office Manager possesses a broad array of skills and abilities including familiarity with accounting and payroll software, strong organization skills, a high degree of accuracy and attention to detail, and the ability to meet deadlines.

Key areas of responsibility

·        Perform general office duties.

  • Answering phones and directing callers to the appropriate destination.
  • Checking and responding to voicemails as needed.

·        Responsible for providing a warm and welcoming environment for clients and callers alike.

·        Maintain client, vendor, and administrative files

  • Obtain any missing paperwork associated with USFAAF clients
  • Performing service appointment scheduling for clients
  • Performing clients follow up
  • Process new client setup paperwork
  • Email communications to clients & office staff (reminders, updates, announcements, etc.)
  • Manage accounts payable and receivable processes
  • File and pay monthly sales taxes
  • Prepare invoices and follow up on past due accounts
  • Prepare vendor checks and ensure timely payment of invoices
  • Prepare and process payroll
  • Supervise the maintenance of office equipment
  • Manage records retention for the organization
  • Overall administration duties

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • College degree or equivalent experience
  • Competent with systems, including accounting software and Microsoft Office software
  • Ability to engage respectfully and professionally with people of different values and styles
  • Excellent written and verbal communication skills
  • Continuous improvement mindset: values new ideas and opportunities to improve
  • Excellent organizational skills and demonstrated ability to set priorities and manage multiple tasks
  • High degree of accuracy and attention to detail

COMPENSATION

Pay rate is commensurate with education and experience. USFAAF also offers a positive work environment
