The Operations Specialist serves as a liaison to ensure that the needs of all NYSIE programs and the Institute overall are being met.  Under the direction of the Fiscal Director,  the Operations Specialist performs duties in the areas listed below and will vary according to the needs of the Institute.

The Operations Specialist will make an impact in many areas, with responsibilities and duties including, but not limited to:

  • Manage the purchasing activities for the Institute;
  • Coordinate with NYC Board of Education, the Residential Supervisor, and our outside vendor (Mama Rosa’s)to provide daily meals for the students;
  • Ensure that the campus telephone service is maintained and appropriate for the needs of the Institute;
  • Ensure that the campus copy machines are properly maintained and negotiate the leases and exchanges for them when required;
  • Serve as the liaison for the Institute with the insurance company to handle issues concerning changes in the policies, liability coverage, claims and any changes that occur on the campus;
  • Serve as the liaison with Computer Logic related to Power School;
  • Manage the Pitney Bowes leases for all stamp machines located in the Schermerhorn Building and Business Office;
  • To record purchase order transactions into QuickBooks with  the correct ledger accounts;
  • Other duties/tasks as assigned by supervisor deemed necessary.

Physical Requirements:

  • The physical requirements for this position would include: frequent sitting, walking and standing; twisting at the neck.  Vision abilities of this job require close vision and distance vision.  The employee must be able to hear conversations in a variety of environments.  The position may require the ability to lift and move up to 15 pounds.

Education, Knowledge and Skills:

  •  High School Diploma required; AA or BA preferred
  • 5+ years’ experience in business operations;
  • Knowledge of Microsoft Office Suite and Google Office platform;
  • Excellent communication, written, organizational, and time management skills;
  • Must possess the capability to manage a high degree of paper work with great attention to detail;
  • Ability to establish effective working relationships with staff, board and outside vendors;
  • Ability work independently and complete all tasks in a timely manner.
