The Role

The role of the Operations Specialist is an extremely dynamic one.  In this role, you will be responsible for administrating and streamlining the day-to-day business operations by working closely with the members of our Access Private Client Services Team to support raising money for the world's most worthy causes.  

Working across Charitybuzz teams, the Operations Specialist is responsible for supporting the fulfillment of direct requests.  The successful candidate will possess a keen eye for detail, a deep-rooted appreciation for efficiency, an aptitude for getting things done , immense curiosity, and exceptional people skills to support and execute every step of the way.  In short: we're looking for an eager and relentless force of nature.

Responsibilities

  • Develop, deploy and maintain a set of best practices to support the inquiry fulfillment process including, but not limited to, customer inquiry, fulfillment channel potential, and communication with internal stakeholders to secure private sales
  • Act as a liaison between Private Sales Team Members and Inventory Acquisition Team members by organizing and tracking private sales requests using a CRM; support the timely execution of seller agreements including those related to Direct Partnerships, as needed
  • Identify and execute optimization strategies to encourage revenue growth within the ACCESS division of Charitybuzz
  • Establish and maintain request-to-fulfillment procedures and timelines which balance expeditious inquiry support and operational optimization of the department
  • Work closely with the post-sales operations team to ensure seamless member redemptions
  • Deliver weekly reports to the Private Client Services team, providing updates on new experiences, pricing estimates, and best practices to maximize fundraising potential
  • Prepare and Publish new Private Sales listings on our private member portal and ensure timely publication; establish the publication and email calendar and maintain it to maximize fundraising
  • Partner with the marketing team to strategically promote experiences, brainstorm engaging themes for weekly newsletters, and deliver compelling content
  • Lead weekly discussions with various teams to ensure optimal communication among departments and proactively support sales team members

  • 3-5 years generalized project management or sales support experience
