The Administrative Assistant will play an important role in managing office administration at DC SAFE’s administrative office. They will provide support across DC SAFE’s administrative teams, including completing some accounting tasks and contributing to DC SAFE’s external communications. They will also provide support to the Executive Director in scheduling and other special projects as assigned. Supervised by: Director of Operations

Office Administration

  • Collect and sort mail at the administrative office

  • Pick up and sort mail from the PO Box

  • Receive and direct calls to the administrative office

  • Receive and direct visitors to the administrative office, including managing front desk

  • Schedule and maintain conference room bookings

  • Maintain general office organization

  • Monitor and order general office supplies

Communications

  • Maintain content calendar for all DC SAFE social media channels: Facebook, Instagram, LinkedIn, and Twitter

  • Create written and graphic content for all social media channels

  • Set targets and evaluate reach, engagement, and followers across all channels

  • Assist with email marketing and other communications as assigned

Accounting/Business Management

  • Coordinate Program check pickups

  • Process, receive, and record checks and cash received

  • Assist in data entry of income/expense transactions as assigned

  • Assist in fiscal management of grants as assigned, including filing and managing grant backup documentation

  • Provide support with program client files/invoices

  • Monitor and complete annual renewals for business certifications and subscriptions (i.e., PO box, Federal SAM, GoDaddy, etc.)

Executive Support

  • Assist the Executive Director in scheduling meetings and managing calendar appointments

  • Assist the Executive Director in correspondence with board members, partners, and other stakeholders as assigned

Qualifications

  • Strong verbal and written communication skills

  • Ability to prioritize work and balance multiple projects and deadlines

  • Attention to detail and proven ability to follow standard operating procedures

  • Savvy with data entry, accuracy, and management, including intermediate proficiency with Excel

  • Comfortable with budgets and financials

  • Proficiency with Google Suite, Microsoft Office, and QuickBooks Pro

  • 2+ years experience in office administration or accounting preferred

  • Experience and/or demonstrated interest in working with nonprofits
