Job Description:
Seeking a detail-oriented individual with accurate data entry skills, professional phone etiquette, and exceptional organizational ability to join our team ** Must have extreme attention to detail and have the ability to work in the fast-paced world of aviation. **
Essential Job Functions:
The ideal candidate must be self-motivated, personable, and enthusiastic with a pleasant and professional attitude, who is experienced in handling a wide range of administrative tasks including but not limited to the following:
• Answer and screen incoming telephone calls, take messages, and page personnel when needed.
• Assist with processing customer Shop Orders, Invoices, and basic Aircraft Log Entries.
• Perform basic accounting functions including, but not limited to the following: processing and entering invoices and payments, monthly G/L posting, and assist with monthly procedures.
• Parts ordering; entering purchase orders while following inventory control procedures.
• Shipping and receiving of all UPS/FedEx packages, including some international shipments.
• Maintain a clean and organized office space; sweep, Swiffer, vacuum, and dust when needed.
• Manage FBO customer database, and send out monthly service reminders as appropriate.
• Complete all paperwork, checklists, forms, and reports as required in accordance with Company Procedures, Repair Station/Quality Control Manuals, and FAA Regulations and Guidelines.
• Work and complete tasks on time with minimal supervision, and exhibit good problem-solving skills
• Work with and assist coworkers to complete assignments when necessary.
Qualifications/Requirements:
This position entails organization, attention to detail, the ability to multi-task, and excellent written and oral communication skills.
• High school diploma / GED equivalent
• 1-3 years’ experience as an Administrative Assistant preferred
• Aviation experience and/or knowledge is a plus, but not required
• Ability to read, write, and understand the English language
• Proficiency with Microsoft Excel, Word, and Outlook
• Experience using office equipment; multi-line telephone system, copier, fax, printer, and scanner
• Basic Accounting experience and/or knowledge
• Must demonstrate excellent written and oral communication skills
• Strong interpersonal skills needed along with exceptional customer service skills
Shift / Hours:
Part-Time; M-F; 8:00am to 4:30pm (negotiable)
Location:
Waukesha County Airport (KUES)
Waukesha, WI
Wage:
$16.00 - 18.00 per hour based on experience; potential increase after 90 days of employment.
