Job Summary:

The Fleet Administrative Assistant will assist the Fleet Manager and mechanics in  their ability to perform maintenance and repairs on vehicles and equipment. 

Duties/Responsibilities:

·        Review driver’s daily inspection reports;

·        Completing purchase orders;

·        Coordinate vehicle plates and stickers;

·        Review and update WEX gas cards;

·        Receive and review driver’s alert updates;

·        Provide complete administrative support services for the Fleet Department;

·        Manage our annual registration renewals, truck inspections for entry and exit from the company;

·        Entering vehicle & equipment moves and new purchases;

·        Adding GPS updates to Fleetio and repairs;

·        Managing of titles and documentation of used equipment acquired by the company;

·        Title work, Registrations, Plating of fleet equipment;

·        Ordering of parts, tools, equipment;

·        Other duties as assigned.

 

Required Skills/Abilities:

·        Must demonstrate ability to work effectively in a team environment;

·        Must prioritize in a fast paced multi-task environment;

·        Must demonstrate integrity and professionalism;

·        Above average proficiency in Microsoft Office and database work;

·        Must build positive working relationships with multiple levels of employee and management;

·        Must possess excellent verbal and written communication skills;

·        High level of accuracy is expected;

·        Accounting background is a plus, but not required;

·        Must possess excellent organizational skills;

·        Knowledge of medium duty to heavy duty truck and equipment is a plus;

·        Must demonstrate commitment to company values;

·        Must follow-up on tasks and assignments in a timely manner;

·        Must comply with all operating policies, procedures, executed Plans, and Programs;

·        Must think strategically, make sound decisions, and produce accurate and timely results;

·        Must work with minimal supervision.

 

Education and Experience:

·        High school diploma or equivalent required.

·        Related experience preferred.

 

Physical Requirements:

·        Must be able to work safely in a noisy area with many odors present.

·        Prolonged periods sitting at a desk and working on a computer.

·        Must be able to lift up to 15 pounds at times.
