Position Type: Full-Time/Part-Time, Mon-Fri 9am-3pm, some weekends if needed for special events

Job Summary: The Front Desk Assistant is the first point of contact for clients at our medical spa. This role is essential in providing an outstanding client experience, managing appointments, and ensuring smooth daily operations. The ideal candidate will have excellent communication skills, a friendly demeanor, and the ability to handle a variety of administrative tasks.

Key Responsibilities:

  1. Client Interaction:

    • Greet clients warmly and professionally upon arrival.
    • Answer phone calls and respond to inquiries regarding services, appointments, and general information.
    • Schedule, reschedule, and confirm appointments using our booking system.
    • Process client check-ins and check-outs efficiently.
  2. Administrative Duties:

    • Maintain accurate client records and appointment schedules.
    • Handle cash, credit card transactions, and process payments.
    • Assist with the management of inventory and supplies.
    • Ensure that the front desk and waiting area are clean, organized, and stocked.
  3. Customer Service:

    • Address and resolve client concerns or complaints in a courteous and professional manner.
    • Provide clients with information about our services, products, and promotions.
    • Promote a positive and welcoming atmosphere in the spa.
  4. Team Support:

    • Collaborate with spa staff to ensure a smooth workflow and client satisfaction.
    • Assist in administrative tasks and support for spa services as needed.
    • Participate in staff meetings and contribute to a team-oriented environment.
    • Assist with photos and videos for business purposes.
  5. Compliance and Confidentiality:

    • Adhere to all privacy and confidentiality policies regarding client information.
    • Ensure compliance with health and safety regulations and protocols.

Qualifications:

  • High school diploma or equivalent; additional certification in office administration or related field is a plus.
  • Previous experience in a customer service or front desk role, preferably in a medical spa or similar setting.
  • Proficient in Microsoft Office Suite and experience with scheduling software.
  • Excellent interpersonal and communication skills.
  • Ability to handle multiple tasks and remain calm under pressure.
  • Professional appearance and demeanor.

Physical Requirements:

  • Ability to sit or stand for extended periods.
  • Ability to lift and carry light to moderate items (up to 25 pounds).
