Seeking an experienced office manager/or willingness to learn to join our team full-time. The office manager is an essential part of our team and helps the company to run smoothly. You will be the main point of contact for Donovan’s Painting customers. This position is in a home office setting in Mount Airy, MD.

Responsibilities include the following:

- Answering all incoming calls and responding to voicemails, web leads and emails.

- Maintaining office supplies.

- Working closely with the owner of the company and general manager/estimator.

- Processing payroll via ADP.

- Working up estimates for sales and sending proposals.

- Main point of contact for customers. Taking down new customer information and adding the information into multiple systems. As well as assisting customers with questions regarding our services, their proposals, reaching out for color selections and necessary information for the estimators and painting team.

- Tracking of jobs and crews.

- Invoicing via Quickbooks (use of quickbooks is limited to invoicing only) and taking payments for downpayments and occasional balances via SwipeSimple.

- Processing payments to vendors.

- Management of social media platforms which includes posting several times a week to Instagram and Facebook. Maintaining community engagement.

- Seasonal email blasts for marketing via Constant Contact.

- Brainstorming additional marketing ideas for the company with the owner.

Preferred Qualifications:

- Knowledge of the following systems: Microsoft Access and Outlook, Quickbooks, PandaDoc and Insightly CRM is preferred.

- Previous experience in an office manager role.

- Social media management and marketing experience a plus.

- Strong attention to detail and outstanding customer service.

- Strong work ethic with the ability to work independently.
