Position: Tradeshow and Marketing Coordinator

Department: Sales & Marketing

Reporting To: Director, Sales and Marketing

Schedule: Monday - Friday 8:00am-5:00pm

Summary/Purpose:

Under general guidance coordinates the day-to-day activities within Sales and Marketing department including the planning, attendance and follow up of offsite meetings and education programs. Coordinate with other departments and outside contacts to resolve issues and scheduling, involving the sales, marketing, meeting planning and educational seminars. Work with sales representatives and customer service on sales and marketing activities. Assists with the execution of marketing campaigns.

Essential Functions:

  • Support Director of Sales and Marketing, Sales Coordinators and all managers in all aspects of marketing, sales, project coordination and departmental operations.
  • Required to be present in the work place during scheduled work hours.
  • Coordinate meetings, tradeshows, educational programs, marketing material management, marketing projects, media plans and targeted customer communications.
  • Coordinate graphic design, social media and writer contractor efforts.

 

Meetings & Education Programs Coordination:

  • Coordinate a minimum of 3 M.E.S. (Masters Educational Series) programs per year.
  • Effectively manage resources for tradeshows and education programs (sales reps, speakers...)
  • Updates and maintains tradeshow schedule with all operating details
  • Oversees packing and unpacking of tradeshow materials.
  • Arranges shipping of materials to appropriate locations (includes negotiating shipping fees).
  • Monitors tradeshow materials to remain in good repair
  • Evaluate the effectiveness of each tradeshow and educational program and writes meeting summary
  • Travel to tradeshows and customer education programs as scheduled.
  • Coordinates the design and production of tradeshow displays l l .
  • Suggest and upon approval drive original themes and promotions for events.
  • Coordinate and reserve all accommodations for attendees at tradeshows and customer education programs.

 

Marketing Coordination & Projects:

  • Manages inventory of marketing materials for education programs and sales reps
  • Manages marketing materials and marketing/tradeshow staging area.
  • Assists Director with annual media plan, including analyzing ROI on advertising placements.
  • Ensures that all marketing materials are up to date.
  • Works with Regulatory Dept. for approval of new and revised marketing materials.
  • Manages Images Library and approvals to use Images.
  • Understand target market and what motivates them to buy
  • Implements marketing strategy based on yearly marketing plan
  • Coordinates monthly e-newsletter and maintains social media.
  • Monitors website for consistency. Coordinates with web designer for advanced modifications.
  • Participates with Director on new programs and incentives. Helps drive projects once guidelines have been defined.
  • Coordinate annual customer surveys for both Marketing and Quality purposes.

General

  • Perform required secondary operations.
  • Complete documentation training, and disciplinary action.
  • Communicate with coworkers at all levels
  • Conduct and attend meetings.

Marginal Functions

  • Ability to see 20/40 with both eyes together, with or without corrective lenses. The employee will have no or very limited exposure to physical risk.

Education:

Experience:

  • Two or more year's management experience within a Sales/Marketing/Field Support organization or equivalent. Previous experience of an event planning and coordinating desired. Excellent communications skills.
  • 1 to 3 years’ experience directly related to the duties and responsibilities specified.
  • Basic computer knowledge (Windows platform).
  • Word, Excel Access, and Outlook knowledge required.
