Job Overview:


We are seeking a highly motivated and organized Event Coordinator to oversee. In this role, you will be responsible for building and maintaining strong relationships with clubs, college coaches, sponsors, and community partners while ensuring events are prepared for success. This full-time position requires flexibility in work hours, including weekends and holidays.


Key Responsibilities:


1. Relationship Management:

- Cultivate and nurture relationships with participants, sponsors, community partners, clubs, and college coaches to enhance engagement and drive revenue.

- Collaborate with clubs to attract high-quality teams to our tournaments.


2. Event Planning and Coordination:

- Plan and coordinate all aspects of sporting events, including venue selection, scheduling, and adherence to rules and regulations.

- Manage logistics for events, including equipment setup and breakdown, scheduling, staffing/volunteers, and emergency response.

- Coordinate with vendors for AT, security, and golf carts, and ensure adherence to budget constraints.


3. Marketing and Promotion:

- Assist in developing and implementing marketing strategies to attract participants.

- Monitor the event market to stay informed about rates, competition, and potential league interference.

- Organize new logos into club logo folders and compile social media handles for marketing purposes.


4. Document and Database Management:

- Create and maintain organized documents, reports, and presentations.

- Manage CRM/database updates with clients, including validating and approving team check-ins, and collaborating with on-site directors.

- Ensure timely closure of team payments and work with accounting to reconcile entries.


6. Tournament Responsibilities:

- Communicate effectively with clients via phone, email, online chat, and text.

- Handle payment reminders, check-in reminders, and approve/check-in teams.

- Develop and construct game schedules, manage schedule changes, and work with referee assignors.


7. Customer Engagement:

- Resolve disputes or issues that arise during tournaments in a professional manner.

- Ensure awareness of teams receiving discounts and manage discount codes.


8. Website and Online Presence:

- Oversee and update website content regularly to ensure all links are active and live.

- Monitor live chat on all sites during regular and some after-hours.


9. Travel and Onsite Event Support:

- Support our housing team with communication to teams and properties in use for each event.

- Onsite support for events through the calendar year.


Qualifications:


- Proven experience in event management and community relations.

- Strong organizational and multitasking skills with exceptional attention to detail.

- Excellent communication and interpersonal skills.

- Proficiency in Microsoft Office Suite and familiarity with an event management platform

- Knowledge of sporting events and tournament operations is a plus.
