The Accounts Receivable Specialist is a vital member of our mission. In this role you are responsible for all aspects of accounts receivable and general administrative duties to deliver a high level of service to Heather Gardens Residential Community.

Duties:

  • Manages accounts receivable daily workflow; accurate and timely payment processing, auditing, documenting, resident communication and payment management of all receivable accounts.
  • Ensures accurate and timely invoicing and collections of accounts.
  • Reconciles property accounts; reviews and sends customer statements.
  • Posts and applies customer payments by recording daily payment transactions related to resales, RV lot, Foundation, laundry commission, vendor refunds, realtor fees and monthly HOA payments.
  • Posts daily revenues by verifying and recording transactions from daily golf deposit; updates golf accounting report.
  • Enter all Club House deposits for class, trips, and events registration, and other related items.
  • Posts daily revenue by verifying and recording transactions from restaurant deposit.
  • Responds to and returns all Resale paperwork within 48 hours of receipt (or sooner based on closing date).
  • Works with Attorneys and Collection Agencies related to Foreclosure proceedings.
  • Conducts monthly credit meetings with supervisor and Controller to report on aging accounts.
  • Verifies any account discrepancy by obtaining and investigating information related to department sales, special events, programs and residential accounts.
  • Summarizes receivable accounts and prepares collection reports as necessary.
  • Assist with annual refunds, coupons, and audit.
  • Assists with Month End Closing by preparing recurring and adjusting journal entries, balance sheet reconciliation preparation and analysis as may be necessary.
  • Ongoing Accounts Receivable review for collection issues; works directly with residents and customers for payment resolution; examine customer payment plan options, communicate to resolve billing questions and/or concerns.
  • Collaborates with management to drive improvements related to cash applications, collections and payment processing.
  • Updates job knowledge by participating in educational and organizational opportunities for professional growth and development.
  • Demonstrates exceptional customer service skills to ensure satisfaction as a priority of service.
  • Other job duties as they may be assigned by management.

Essential Competencies:

  • Provides follow-up and feedback on open issues in a timely manner.
  • Applies strategic and proactive steps to resolve problems and prevent recurrence.
  • High School diploma or GED required.
  • Minimum of 5 years’ experience in a related field, with prior accounting experience preferred.
  • Serve as a back-up to the Receptionist, Board Assistant and Accounts Payable Specialist as required.
  • Assist with monthly, quarterly and annual audit procedures as required.
  • Proficient in Microsoft applications; Word, Outlook, Excel
  • Detail oriented with the ability to multi-task and a close attention to detail in handling transactions with a high level of accuracy.
  • Excellent organizational, written and verbal communication skills.
  • Ability to work well under pressure with a proactive approach to unusual occurrences.
  • Must have a valid state Driver’s License, proof of automobile insurance and reliable transportation.

Must pass background and drug screening.
