Position Summary

 

The Purchaser is responsible for routine and impromptu purchases made by a company from its affiliated vendors. S/he prepares, and processes purchase orders or purchase requests, keeps records of purchases, keeps vendor information up to date, provides training on related applications and policies, and prepares descriptions and bids when necessary. The Purchaser facilitates the acquisition of company supplies and equipment and ensures that vital inventory is kept in stock. S/he guarantees that materials, supplies, and equipment orders are placed in a timely fashion so that the company does not suffer shortage. S/he works closely with the accounting department to resolve problems with invoices and set up accounts with new vendors and will be the point of contact within the company for any vendor inquiries or issues.


Essential Duties and Major Responsibilities

 

  1. Coordinates and manages all activities during the purchasing process, such as creating purchase orders, invoice creation, and follow-through.
  2. Analyzes and monitors internal, economic, and consumer trends to forecast sales and inventory.
  3. Handles returns of merchandise, and pricing updates.
  4. Organizes and locates inventory in databases and online systems.
  5. Designs and maintains all vendor reports, vendor scorecards, evaluates all issues, assists to prepare all data reports for all purchasing systems, and manages all buying trends.
  6. Coordinates with the supervisor to provide support to all product research programs and assists in obtaining all required approvals.
  7. Maintains and evaluates all spreadsheets to establish best purchase activities.
  8. Evaluates all purchase orders and ensures accuracy in all SKU and product plans and maintains tracking of all receipts from various locations while maintaining an efficient packaging guide according to vendor regulations.
  9. Responsible for processing freight and damaged claims.
  10. Collaborates with the shipping department to ensure compliance to all shipping dates and deadlines.
  11. Maintains the satisfaction of all consumers and monitors the delivery of all products according to schedule.
  12. Maintains quality standards of all products.
  13. Coordinates with vendors to maintain knowledge on all product and delivery schedule and oversees all personnel training programs.
  14. Collaborates with internal and external customers and manages all pricing and availability of all products and develops purchase orders for all purchasing systems.
  15. Manages all communication with general contractors and coordinates with sourcing analyst to source all materials.
  16. Manages all communications with vendors and tracks all orders to resolve any issues.
  17. Assist with other duties as assigned.


Education

 

  1. High school diploma or equivalent

 

Experience

 

  1. 2+ years’ experience in a purchasing position or similar experience preferred.
  2. Prior purchasing for consumer products with similar industry or company.
  3. Experience working with an ERP and/or database system.
  4. Experience working with mass retail accounts on the item set up / configuration

 

Specialized Skills

 

  1. Must have the ability to write and produce reports that provide cost, inventory, and asset information for the company.
  2. Must be an effective negotiator in purchasing.
  3. Demonstrated exceptional organizational skills and is detail oriented.
