POSITION TITLE: Accounting Specialist

QUALIFICATIONS: Associate’s degree in Business Management, Finance, Accounting, or related field with experience in accounts receivable or accounts payable, and a comparable work-related field preferred but not required. Strong mathematical skills and knowledge of computer software applications word processing, spreadsheet, presentation, Google Drive, QuickBooks Online. Verbal skills to convey complex information and procedures in a clear, professional manner. Strong writing skills to prepare reports, instructions and informational material used in the conduct of the Organization’s business. Accounting skills to perform everyday accounting functions for accounting. Reading skills to comprehend complex materials and the ability to interpret and communicate their meaning. Ability to multi-task, prioritizing among competing tasks, and to use critical thinking skills. Exhibit a high level of professionalism and ethics working amicably with the Owner, Supervisor, Office Staff, & Drivers. Possession of a valid driver's license. Must meet the Company’s employment and physical standards.

REPORTS TO: Staff Accountant

COMPENSATION: Full-time / Salary Non-Exempt

RESPONSIBILITIES ARE BUT NOT LIMITED TO:

  • Create & submit freight invoices for appropriate documentation prior to payment

  • Maintain accounts receivable records to ensure aging current, credits and collections are applied, uncollectible amounts are accounted for, and miscellaneous differences are cleared

  • Maintain customer records

  • Perform daily cash management duties, including the recording of bank deposits, updating and distribution of cash receipt logs, and posting of cash to the accounts receivable sub-ledger

  • Communicate discrepancies to management team, identify slow-paying customers

  • Monitor and collect accounts receivable by contacting clients via telephone, email, and mail

  • Processing and Filing driver paperwork

  • Assist in streamlining the accounts receivable process by identifying areas for performance improvement

  • Exercise integrity and confidentiality in financial reporting, and comply with national and local financial requirements

  • Ability to keep company and partner confidences

  • Support other accounting and finance team members, inventory management, and cost accounting

  • Other tasks assigned by Staff Accountant/Chief of Staff/Owner

WORKING ENVIRONMENT: 

The work area is well lighted, ventilated and heated. 

PHYSICAL DEMANDS: 

The work is mostly sedentary. Typically, the employee may sit comfortably to do the work. Some walking, standing, bending, stooping and carrying of light items may be required. Must be able to lift twenty-five pounds without assistance.
