Position Overview:
The Scheduling Coordinator is tasked with managing and optimizing the scheduling of installations, maintenance, and support services. This role involves coordinating with clients, technicians, and project managers to ensure timely and efficient delivery of services, resolving scheduling conflicts, and maintaining smooth operations.
The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks. The Scheduling Coordinator will play a crucial role in supporting our team and ensuring the smooth operation of daily activities.
Key Responsibilities:
- Scheduling: Collaborate with our operations team to efficiently manage technician schedules, updating our team calendar and confirming appointments with clients.
- Timesheets: Oversee the timesheet submission and approval process for technical and project management teams.
- RMA Coordination: Manage the process of returns and exchanges for defective or unwanted products.
- Client Documentation Management: Review and maintain client documentation, ensuring accuracy, completeness, and confidentiality to uphold organizational standards and client satisfaction.
- Administrative Support: Provide administrative support to the team, including but not limited to answering phone calls, greeting clients, and maintaining a presentable showroom.
Qualifications:
- A Bachelor’s Degree is strongly preferred.
- Professional, with attention to detail and a willingness to learn.
- Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients, vendors, and team members.
- Ability to work independently with minimal supervision and as part of a team.
- Proficiency in Microsoft Suite, Google Workspace, and Adobe Acrobat.
- A background in SAP preferred but not required.
