Job DescriptionJob Description

We are seeking energetic, multi-tasking, organized, patient, hard-working team member. You will be responsible for managing various administrative tasks, to support our building maintenance team, operations team and property management team.

This position will play a crucial role in supporting our day-to-day operations.

 

Responsibilities:

· Submit, receive and reconcile invoices from over 100 vendors.

· Provides administrative support for the operations and maintenance team

· Coordinate with building management and vendors to address maintenance issues, repairs, and facility upgrades

· Receives and acts on all complaints and service requests from tenants in assigned buildings by documenting work order in property management work order system and notifying and involving manager as appropriate to ensure customer service.

· Communicates various correspondence to tenants and vendors as needed.

· Works with Building Technicians and completes inspections of properties.

· Manages a wide variety of special projects associated with renovation and remodeling of tenant spaces, particularly with respect to new tenant move-ins. Coordinates with tenants and supervises new contract work.

· May process daily time summary reports for building maintenance technicians by deadlines, assist maintenance and manager with prioritization of tasks.

· Review all vendor invoices for accuracy and in compliance with the vendor contract and the client's accounting procedures.

· Works with vendors and operations teams to order services and related supplies for several properties.

· Prioritize duties in order or urgency and importance.

· Assist in the review and processing of city permits, state licenses, insurance, inspections and other critical documents.

· Implement tracking mechanisms to monitor project progress, milestones, and deadlines, providing regular updates and reports

· In charge of all new vendor setup, record insurance information and other proper documentation

· Act as a conduit for communication and conflict resolution, swiftly addressing project-related issues and discrepancies to maintain project momentum

· Answer and direct phone calls

· Write and distribute email, correspondence memos, letters, faxes and forms.

· Develop and maintain a filing system

· Update and maintain office policies and procedures

· Order office supplies and research new deals and suppliers

· Manage incoming and outgoing mail, packages, and deliveries

· Perform related duties and responsibilities as required and other duties as assigned

 

Knowledge, Skills, and Abilities:

2 - 5 years of experience in an administrative assistant/support type role required.

1-3 years real estate or property management-related experience strongly desired.

Minimum HS Diploma required, Some College/College Degree or comparable work experience preferred.

Technical/Special Skills: Familiarity with computer software programs such as Microsoft Office products (Word, Excel, PowerPoint, Publisher), basic understanding of accounting; basic understanding of property management.

Ability to physically oversee multiple properties by being on-site to inspect property, work closely with tenants and supervise contract work and vendors.
