This role is 100% In-Person at our Headquarters in Petaluma, CA.

 

Performs a wide variety of standard accounting functions in the areas of Accounts Receivable, Cash Receipts, and Billing; this position is responsible for verifying that tenants are billed properly, and that accurate statements are produced and mailed in a timely manner.

 

ESSENTIAL FUNCTIONS:

· Utilizes automated accounting system software and Microsoft Office software.

· Processes accounts receivable using planning and judgement in the following:

· Collect, reconcile, classify and enter all charges for each property and management company.

· Enter, allocate and post deposits/payments to the correct tenant and general ledger account in a timely manner.

· Prepare bank deposits and make sure they are accurate and mailed in a timely manner.

· Process all tenant moves outs

· Maintain tenant database including billing increases (including CPI rent escalation), status and system CAM billing requirements

· Process monthly tenant utility billings and misc. bill backs

· Monitor AR aging reports; make best efforts to collect all unpaid balances by working with Accounting Manager and/or Property Manager and sending late notices.

· Reconcile accounts receivable and billing monthly.

· Produce and distribute month-end reports.

· Perform analysis as required to resolve tenant/property management questions

· Calculate and bill monthly management fees and Association Management fees

· Calculate and bill monthly leasing override fees

· Assists, as required, in preparation of other accounting reports, budgets, schedules and tasks as requested by Accounting Manager.

· Meet with Property Management team weekly to discuss AR aging issues.

· Do your best to resolve any problems and discrepancies and provide account reconciliation.

· Maintains a variety of files.

· Verifies all calculations for accuracy and consistency.

· Backup to AP when required

SUBSIDIARY FUNCTIONS:

· Must have a clear understanding of full accounting cycle and help support other team members when necessary.

· Performs related work as required.

KNOWLEDGE/SKILLS:

Strong working knowledge of Accounts Receivable functions, practices and procedures. Have a clear understanding of accrual accounting procedures. Basic knowledge of general office practices and procedures. An understanding of network computer systems and the ability to operate a computer workstation. Uses independent judgement to coordinate special projects and may require coordinating with other departments and department managers. Strong ability to plan and prioritize workflow; clear and concise communication skills, both written and verbal; detail oriented, versatile and flexible. Knowledgeable of general ledger, account analysis and journal entries. Proficient with Excel, Microsoft Word and accounting software.

QUALIFICATIONS:

Five years’ experience in A/R, A/P, and billing.

Basic accounting knowledge for real estate activities

EDUCATIONAL REQUIREMENTS:

Two years education beyond high school or equivalency

Advance training in accounting a plus.
