Position Summary

 

This position will report into the Director of Finance and own the responsibilities of providing:

-        HR Operation and Administration:

Develop and implement people and culture initiatives compatible with the Group’s strategy and policies including but not limited to talent development, training, compensation and benefits management. The HR & PR Manager oversees all activities related to Payroll as for instance; bi-weekly execution of the payroll (compliant timecards, expenses, bonuses), attendance, time off accruals and benefits management.

-        Talent Acquisition:

In partnership with the Executive Team, the HR & PR Manager will be responsible of understanding, planning and sourcing of the required talents to support the Company Business strategy and growth. Responsible for all selection and onboarding tasks.

-        Financial and Accounting support:

Responsible for timely and accurate reporting and coding of information related with HR & PR into the Accounting systems of the Company as well as the correct consolidation into the Financial.

 

Essential Responsibilities:

 

HR Operations and Administration:

·        Collaborate with Hong Kong HQ to implement HR best practices in the US office.

·        Collaborate on compensation strategy (base salary, bonus, commissions, etc.) with the COO/CEO.

·        Implement People and Culture initiatives (employee safety, company events, etc.).

·        Onboarding: provide employment forms, payroll and tax forms, 401k and benefit insurance, parking, etc.

·        Manage benefits enrollment for new hires, terminations, and open enrollments, including health insurance, short-term disability insurance, and retirement plans.

·        Manage COBRA for eligible participants.

·        Set up new employees in PAYCHEX Systems (direct deposit, 401k, medical deductions)

·        Collaborate with IT and Office Manager on equipment, email account, etc. for new hires and terminations.

·        Review insurance invoices.

·        Liaise with 401k Third Party Administrator (yearend census, compliance, etc.).

·        Keep track of employees' attendance; maintain vacation and sick schedules; reconcile the schedule with GL account and submit monthly reports to Finance Dept.

·        Review hourly employees’ timecards for hourly employees; coordinate this process with the sewing room manager.

·        Prepare biweekly payroll for Finance’s approval.

·        Maintain all employee records/documents in the company HR network drive and physical documents.

·        Collaborate with Hong Kong HQ for mandatory training for employees

Talent Acquisition:

·        Partner with the leadership team to understand staffing needs and develop recruitment strategies.

·        Source candidates through various channels such as job boards and internal referrals.

·        Screen resumes and conduct initial phone interviews to assess candidate qualifications.

·        Coordinate and schedule interviews with hiring teams.

·        Facilitate the interview process, gather feedback from interviewers, and guide hiring decisions.

·        Prepare and extend job offers and negotiate terms of employment within company guidelines.

·        Maintain candidate databases and manage applicant tracking system (ATS) data.

Financial and Accounting Support:

·        Prepare and upload 401k payments every payroll day (latest by the following Monday after payroll day); email upload confirmation to the COO and Finance.

·        Ensure 401k Safe Harbor Employer contribution is paid for all employees.

·        Assist Accounting with invoice processing/data entry.

  • Remind employees to submit their expense reports; review accuracy and receipts of expense reports; assist Finance/Accounting with AMEX reports and receipt collection.
