Executive Administrative Assistant

Under senior leadership, performs a variety of complete, highly responsible, sensitive and confidential office and administrative support functions for the day-to-day operations of SBMF.
- Provides support to CEO and other executive team members to ensure that company goals and objectives are accomplished and that operations run efficiently.
- Uses discretion in identifying critical items, setting up meetings and making scheduling changes with minimal involvement from senior leadership.
- Uses judgment in assessing the urgency and relevance of problems and matters brought to senior leadership.
- Establishes and maintains effective working relationships with external client leadership, Board of Directors, committee members and other key individuals associated with SBMF. Manages communication with and between internal and external client executives on various projects and tasks.
- Plans, coordinates and ensures the executive leadership’s schedule is followed and respected.
- Manages scheduling for CEO and other senior leadership, including agendas, mail, email, phone calls, client management, and other company logistics.
- Coordinates complex scheduling and adjusts calendars accordingly.
- Coordinates, plans and takes minutes for Board meetings, Benefits Committee, Safety and Compliance meetings as well as other meetings as requested.
This position is primarily Monday - Friday (day shift).
All job offers will be based on a candidate's skills and prior relevant experience, applicable education/certifications, as well as internal equity and market data.
Education and Experience:
- Associate degree or equivalent administrative or executive assistant experience preferred.
- A minimum of five years of progressively responsible executive or administrative assistant experience preferred.
- Must possess the skill and initiative to proactively plan for and anticipate the needs of the senior leadership team.
- Must have independent judgment and the ability to make decisions with minimal direction.
- Requires thorough knowledge of office procedures.
- Requires sound judgment and ability to prioritize work to meet deadlines.
- Excellent word processing skills are essential, experience with Excel, Outlook and Power Point is necessary.
- Requires strong interpersonal skills for interaction with internal and external contacts.
