Position Overview:

We are seeking a detail-oriented and experienced Accounts Payable (AP) Specialist to join our dynamic accounting team. The successful candidate will play a crucial role in processing, tracking, and recording payments with accuracy, efficiency, and timeliness. This role is integral to maintaining smooth financial operations and ensuring positive relationships with our valued partners.

Qualifications:

  • Associate or bachelor degree in accounting required.
  • Experience in property management is a plus, but not mandatory.

Key Responsibilities:

  • Receive and sort daily mail, and handle phone inquiries.
  • Review invoices for accuracy, ensure appropriate documentation, and manage the approval process.
  • Process and pay bills promptly to vendors, lenders, state and municipal entities, and record transactions in accounting software and relevant internal spreadsheets (e.g., Tax Bills, Mortgages, CAM). Scan relevant bills to reconciliation folder.
  • Maintain a daily check register and manage the mailing of signed checks.
  • Bill tenants for applicable expenses as per lease agreements (e.g., snow plowing, landscaping, utilities).
  • File paid invoices systematically.
  • Handle intercompany loan payments and management fees monthly.
  • Reconcile monthly vendor statements, address any discrepancies by requesting missing invoices or documentation, and apply vendor credits or request refunds as needed.
  • Review and process leases and addendums, when needed, and update CAM sheets with tenant data for reconciliation purposes.
  • Perform reconciliations for tax, CAM, and insurance charges, and prepare for tenant billing of recurring charges for the upcoming year.
  • Maintain and organize historical records, create new year folders, and streamline AP processes.
  • Request and verify W-9 forms, update vendor information, and manage updates in AppFolio.
  • Record journal entries and assist with year-end tax preparation for accountants.
  • Support senior financial officers and team members as required.

Skills and Attributes:

  • Strong attention to detail and accuracy.
  • Experience in accounting software (AppFolio) and Microsoft Office Suite is a plus.
  • Excellent organizational and time-management skills.
  • Effective communication and problem-solving abilities.
  • Ability to handle multiple tasks and meet deadlines.
