Job Summary: The Administrative Assistance provides critical, administrative support to the Safety Team and serves as the liaison to the Human Resources Department. They must be bilingual (English, Spanish) to effectively communicate with our diverse employee population. This is a part-time position (less than 20 hours/week on average); some travel required to hire new employees across our locations in North and South Carolina. 


This position facilitates new hire orientation in English and Spanish for Constructions Operations (field) employees, including processing new hire paperwork, facilitating safety orientation, coordinating pre-employment drug testing, explaining company policies, providing benefits orientation, and providing relevant paperwork and information to other Departments, such as Payroll, IT, Human Resources, etc. The Administrative Assistant performs various clerical, administrative, and customer service responsibilities including answering telephones, providing assistance to customers, data entry, welcoming visitors, and maintaining employee and safety records.


 Major Duties and Responsibilities:

  • Serve as a liaison between the Safety Department, Branches, and other Departments including Human Resources, Payroll, Construction Operations, and Fleet Management, to communicate pertinent information, gather data, respond to employee questions, and address employee or safety-related issues or tasks.
  • Provide new hire, safety, and benefits orientation in both English and Spanish to newly hired Construction Operations employees.
  • Prepare and process new hire paperwork, including creating and providing onboarding packages with company policies; employee information, payroll, safety, and tax forms; benefits, etc.
  • Maintain and update all medical, safety, employee, and immigration records for all employees of the Old Dominion Group, including keeping safety databases and records current and organized.
  • Coordinate and plan staff meetings, appointments, conferences, training, and travel arrangements.
  • Order and maintain office safety & health supplies and work directly with safety & health vendors.
  • Performs customer service functions by answering employee and management requests and questions related to hiring, onboarding, and employee benefits, engaging Safety team members and Human Resources as needed for more complex inquiries and routing calls appropriately.
  • Research customer issues and identify possible solutions, engaging other Safety team members or Human Resources as appropriate.
  • Provide exceptional customer service to customers, employees, and other stakeholders.
  • Greet, receive, and interact professionally with visitors and employees.
  • Maintain desk, training/conference rooms, and files in a neat and organized manner.
  • Process daily mail.
  • Provide support with general administrative duties such as copying, faxing, correspondence, data entry, emailing, scanning, sorting/mailing office documents, and special projects.
  • Assist with other administrative human resources tasks as requested by the Human Resource Director, including but not limited to benefits communications, open enrollment, processing terminations, and employment verifications for field staff.
  • Occasional travel required.
  • Coordinate, process, and distribute drug test and background results in a secure and confidential manner.
  • Create and maintain drug screen and background accounts with vendors.
  • Process/run MVR requests; share results with Fleet Manager.
  • Complete e-verification process for new hires.
  • Process all badges for federal jobs.
  • The duties and responsibilities are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing and other duties will be assigned based on the position’s role within the business unit.

Minimum Qualifications:

  • Bilingual in Spanish and English
  • A HS diploma or equivalent; or a combination of equivalent training, education and relevant work experience
  • Phone experience
  • Demonstrated customer service skills
  • Excellent communication (written and verbal) and interpersonal skills
  • Reliable and punctual
  • Must have a reliable transportation and available to work extended hours, as needed
  • Ability to multi-task, meet deadlines, and manage time and priorities effectively
  • Strong organizational skills and attention to detail
  • Must be an effective team player with a positive attitude
  • Proficient using a computer and Microsoft Office (Outlook, Word, Excel, etc.)
  • Ability to interact with employees at all levels, supervisors, vendors, and other stakeholders in a positive, constructive manner

Preferred Qualifications:

  • Working knowledge of human resources principles, practices, and procedures
