Job DescriptionJob Description

Hire Connections is actively searching for an Executive Administrative Assistant II to play a vital role in supporting our nationally recognized financial services client. This is an exciting full-time, onsite position in the beautiful Greenwood Village area. You will be the cornerstone of our administrative functions, ensuring seamless operations and providing top-notch support to our executives.

*** The role is fully onsite and will be working in the DTC (Greenwood Village) office ****

Key Responsibilities:

  • Administrative Excellence: Handle word processing, spreadsheet creation, and presentation preparation. Assist in crafting comprehensive regular and board reports.
  • Budget Coordination: Lead the budget preparation process, input data into planning systems, track actuals versus plans, and explain variances. Manage the development and upkeep of various documents including policies and procedures.
  • Information Management: Efficiently coordinate the flow of information within the group and with other banking divisions. Ensure timely dissemination of critical data.
  • Project Participation: Engage actively in group projects, taking on responsibilities for reports and queries, particularly when managers are unavailable.
  • Report Preparation: Coordinate and prepare detailed reports for management and the board, collaborating with other groups and departments as necessary.
  • Meeting Coordination: Manage calendars, organize travel, and schedule internal and external meetings to ensure smooth day-to-day operations.
  • Correspondence: Draft and manage correspondence, both self-composed and on behalf of others, and request necessary information from bank staff.
  • Executive Support: Provide dedicated support to a direct report of an MEC member, ensuring they have the assistance needed to perform effectively.
  • Special Projects: Participate in special projects and take on additional duties as required.

Skills and Qualifications:

  • Proficiency with MS Office Suite, including advanced Outlook management.
  • Experience with JIRA, ScaleAgile, and Azure DevOps.
  • Strong organizational skills with the ability to handle multiple tasks and projects simultaneously.
  • Excellent communication and interpersonal skills, with a keen attention to detail.
  • Proven ability to work effectively in a fast-paced, high-pressure environment.
