PIDC is governed by a thirty-member Board of Directors, appointed by the Mayor of Philadelphia and the President of the Greater Philadelphia Chamber of Commerce. The staff includes approximately 60 full-time employees, and PIDC’s current 12-member senior leadership team has a combined 150+ years of experience at PIDC. The organization’s annual budget of approximately $12M is funded by a combination from fees generated by PIDC’s transaction activities, service and management contracts, and contributed revenue.

POSITION OVERVIEW AND RESPONSIBILITIES:

The Executive Assistant for the Financial Services and Client Engagement Teams will primarily support the Executive Vice President (EVP) for Products and Services, as well as provide support to the Senior Vice President for Financial Services and the Senior Vice President for Client Services and Business Engagement, which both report to the EVP. The Executive Assistant will report to the EVP. Specific responsibilities include, but are not limited to, the following:

Calendar Management [approximately 40%]

  • Responsible for scheduling meetings, and managing the calendar for the EVP and providing calendar support to the Senior Vice President for Client Engagement and Business Support and the Senior Vice President and Chief Credit Officer. Coordinate with and support the Executive Assistant to the President as needed.
  • Assist with travel arrangements as needed.

Committee Administration and Management [approximately 40%]

  • Responsible for the administration of committees managed by the Financial Services department, including specifically the Loan Committee, the PIDC Community Capital Advisory Board, and provide administrative support to the Client Engagement department as projects and programs are developed.
  • Responsibilities include proactive preparation and distribution of agendas, obtaining meeting quorum, managing logistics related to convening meetings, whether virtual, hybrid, or in-person, and drafting, finalizing, and distributing official meeting minutes for the Loan Committee, and PIDC Community Capital Advisory Boards, and other committees, as needed.
  • Coordinate with the Administrative Receptionist and Coordinator when catering is required for select in-person meetings and events and booking travel arrangements.

Meetings, Events and Outreach Support [approximately 10%]

  • Provide backup support for on-site, hybrid, or virtual events or meetings sponsored by PIDC.
  • In coordination with the Marketing and Communications team, provide support to the Financial Services and Client Engagement teams regarding client or stakeholder outreach through phone, written, or electronic means and related maintenance of PIDC’s data management system.
  • In coordination with the Marketing and Communications team, provide support to the Financial Services and Client Engagement teams regarding PIDC’s participation in external events, including managing attendance and ticket distribution, to ensure business development opportunities are elevated as needed.

Expense Reports, Data Management & General Administration [approximately 10%]

  • Complete, submit, and track expense reports and invoices for the Financial Services and Client Engagement teams related to vendor services, professional memberships, professional development, credit cards, or other invoices.
  • Support the Financial Services and Client Engagement teams in PIDC’s internal contract approval process as needed.
  • Assist with data entry as needed, including providing support to the Financial Services and Client Engagement teams to ensure contacts, accounts, and deals are consistently updated in PIDC’s customer relationship management system.
  • Provide back-up coverage to the Administrative Receptionist and Coordinator at PIDC’s front desk for occasional breaks and days out of the office.
  • Assist with other administrative duties as needed.

QUALIFICATIONS AND EXPERIENCE:

  • A minimum of five (5) years of experience as an executive assistant providing similar administrative support to multiple senior executives or the head of an organization.
  • An associate’s degree or bachelor’s degree is preferred, or a high school diploma with equivalent experience is preferred.
  • Proficiency with the Microsoft Office suite of products (Word, Excel, PowerPoint, and Access).
  • Familiarity with Salesforce or similar customer relationship management systems is preferred.
  • Familiarity with Laserfiche scanning software is preferred, or an ability to learn is preferred.
  • Must have demonstrated excellent customer service skills, along with a professional and outgoing demeanor.
  • Experience or knowledge of financing and familiarity with financing terms are pluses.
  • Must be a resident of the City of Philadelphia or willing to relocate within six (6) months of hire.
