The Parts & Service Manager is responsible for the overall efficiency and productivity of the organization, particularly within the shop. This role involves direct management of technicians, ensuring optimal workflow, monitoring and reporting shop performance, and maintaining high standards of customer service and parts management. The Parts & Service Manager is expected to lead by example, make strategic decisions to enhance profitability, and maintain an organized and efficient work environment.

Key Responsibilities:

  1. Leadership and Management:

    • Directly manage shop technicians, including delegation of tasks, conflict resolution, efficiency management, team building, and goal setting.
    • Conduct informal one-on-one meetings and formal biannual performance reviews with technicians.
    • Lead daily shop meetings on full staff working days (Tuesday, Wednesday, Thursday, Friday).
    • Adapt management and communication styles to suit different employees, fostering a positive and collaborative team environment.
  2. Operational Efficiency:

    • Prioritize and manage workflow, assign technicians to work orders, and ensure tasks are completed efficiently and accurately.
    • Monitor and report shop-focused data and profitability, collaborating with the Business/Financial Manager for insights.
    • Review and manage Shopmonkey workflow daily, ensuring tickets move through the workflow efficiently.
    • Oversee Shopmonkey time clock management to ensure accurate time tracking for payroll.
  3. Customer Interaction:

    • Communicate with customers regarding issues, estimated completion times, and technical questions.
    • Review and send estimates to customers, and contact them for additional approvals when necessary.
    • Work with the Coordinator/Service Writer to keep customers informed of order statuses and completion estimates.
  4. Parts Management:

    • Maintain an orderly and organized parts area.
    • Source parts requested by technicians, focusing on price, availability, shipping, and quality.
    • Pull parts for tickets once all parts are in stock or as requested.
    • Submit and follow up on warranty claims to ensure timely receipt of parts.
    • Keep accurate inventory records in Shopmonkey, performing monthly spot checks and quarterly full counts.
    • Handle shop pricing, purchasing, and shipping improvements.
  5. Team Support and Development:

    • Assist technicians with job assignments, ensuring they have the necessary resources and support to remain efficient.
    • Provide technical assistance and answer questions to help technicians solve issues and improve productivity.
    • Adjust work orders as needed and communicate changes to team members.
    • Collaborate with the Operations Manager on hiring needs and participate in the interview process.
  6. Miscellaneous:

    • Maintain a positive, friendly, and respectful attitude towards management, employees, and customers.
    • Ensure the shop area is orderly and efficient.
    • Complete any other tasks assigned by executive management as responsibilities may adapt over time.

Qualifications:

  • Proven experience in a managerial or supervisory role within a service or parts environment.
  • Strong leadership and team management skills.
  • Excellent organizational and multitasking abilities.
  • Proficient in using internet based software or similar shop management software, like Shopmonkey.
  • Strong communication skills, both verbal and written.
  • Ability to adapt management and communication styles to different team members.
  • Knowledge of parts sourcing, inventory management, and warranty processes.
  • Ability to operate forklift.

Work Environment:

  • The role requires working in a shop environment, interacting with technicians, customers, and management.
  • Regular use of computers and other office equipment.
  • Hands-on lifting of parts and materials.
