We currently operate three retail pharmacies in the Greater Philadelphia area and plan to expand our services to include an Assisted Living facility, Clinic, Dental services, and Durable Medical Equipment (DME).

Position Overview
We are seeking a highly organized, proactive, and experienced Executive Assistant to support our CEO. The ideal candidate will be a strategic partner who can effectively manage the day-to-day operations of the CEO's office, allowing the CEO to focus on driving the company's growth and strategic initiatives. This role requires a high level of professionalism, confidentiality, and the ability to work in a fast-paced environment.

Key Responsibilities

  • Administrative Support: Provide comprehensive administrative support to the CEO, including managing the CEO’s calendar, scheduling meetings, coordinating travel arrangements, and preparing meeting agendas and minutes.
  • Communication Management: Serve as the primary point of contact for internal and external communications on behalf of the CEO, including managing emails, phone calls, and correspondence.
  • Project Coordination: Assist in the management and execution of key projects and initiatives led by the CEO, ensuring deadlines are met and objectives are achieved.
  • Meeting and Event Planning: Organize and coordinate meetings, conferences, and special events, including preparing materials, arranging logistics, and handling post-event follow-up.
  • Document Preparation: Draft, review, and edit reports, presentations, and other documents as needed, ensuring accuracy and attention to detail.
  • Relationship Management: Build and maintain strong relationships with key stakeholders, including board members, clients, partners, and staff.
  • Confidentiality and Discretion: Handle sensitive information with the highest level of confidentiality and professionalism.

Qualifications

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Minimum of 5 years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and exercise sound judgment.
  • High level of professionalism, discretion, and confidentiality.
  • Experience in the healthcare or pharmaceutical industry is a plus.
