The Medical Records & Referral Clerk is responsible for managing patient referrals to ensure timely and efficient access to specialized medical services. This role involves coordinating with healthcare providers, patients, and insurance companies to facilitate referrals, verify eligibility, and ensure continuity of care.


Key Responsibilities:

  • Referral Management:
    1. Receive and process new patient referral requests from healthcare providers.
    2. Receive and process radiology orders from TCIDA clinic nurses for current TCIDA patients.
    3. Request medical records for current patients from outside physicians.
    4. Receive and process audit requests from auditing bodies.
    5. Receive and process referrals to outside physicians for current TCIDA patients.
  • Communication and Coordination:
    1. Act as a liaison between primary care providers and TCIDA to obtain necessary medical records.
  • Verification and Authorization:
    1. Ensure that all referral documentation is complete and accurate before submission.
  • Documentation and Record-Keeping:
    1. Maintain detailed records of all referral activities, including patient information, referral details, and communication logs.
    2. Ensure that electronic health records (EHR) are updated with referral information.
    3. Respond to and process audit requests in a timely manner.
  • Follow-Up and Tracking:
    1. Track the status of referrals and follow up with patients and providers to ensure timely appointments and care.
    2. Address any issues or delays in the referral process promptly.
  • Customer Service:
    1. Provide excellent customer service to internal departments and externally to other healthcare facilities and patients, addressing any questions or concerns about their referrals.
  • Compliance:
    1. Ensure compliance with all relevant healthcare regulations and policies, including HIPAA.
    2. Maintain patient confidentiality and handle sensitive information with discretion.

Qualifications:

  • Education:
    1. High school diploma or equivalent required; associate or bachelor’s degree in healthcare administration or a related field preferred.
    2. Medical Assistant certification preferred.
  • Experience:
    1. Minimum of 2-3 years of experience in a healthcare setting, preferably in medical records or a related role.
    2. Familiarity with electronic health records (EHR) systems and insurance verification processes.
  • Skills:
    1. Strong organizational and time management skills.
    2. Excellent communication and interpersonal skills.
    3. Proficient in using EHR systems, scheduling software, and other healthcare applications.
    4. Knowledge of medical terminology and healthcare processes.
    5. Ability to multitask and handle a high volume of referrals efficiently.

Physical Requirements:

  • Ability to sit or stand for extended periods.
  • Manual dexterity to operate office equipment and handle documents.

Work Environment:

  • Standard office environment within a healthcare clinic setting.
  • Regular interaction with healthcare providers, administrative staff, patients, and insurance companies.
