Experienced Scheduling Manager/Office Administrator (Temp- Perm)

Cammisa Markel PLLC is a renowned boutique New York-based business immigration law firm, located in downtown Manhattan. We have need to temporarily fill the Office Administrator/Scheduling Manager role for approximately 4 weeks (possibly longer). The role could potentially become a permanent role for the right individual.

The Office Administrator/Scheduling Manager is an integral part of how we support our clients through maintaining highly personalized service and ensuring the smooth day to day running of our firm’s daily operations.

Job Type: Temporary (with opportunity to become a permanent employee)

Pay: $18.00 - $21.00 per hour (full-time) potential higher rate for more experienced candidates/career scheduler/manager.

Work location: In office

Key Job Duties and Responsibilities:

  • Calendar management for 2-3 Attorneys (Including the Principal’s calendar) and scheduling their client meetings.
  • Communicate schedule changes and updates to clients.
  • Ensure all consultation fee payments have been requested and received prior to client’s consultation.
  • Management of answering phone and email inquiries.
  • Client document management and delicate handling of confidential client information.
  • Preparing brief, yet high level summaries of client background information for the Attorney, prior to each client consultation.
  • Management of the office, always cultivating a pleasant, clean, tidy and well-functioning work environment.
  • Serve as the first point of contact for clients and visitors of the office, always giving a positive experience, including but not limited to, offering clients beverages and refreshments.
  • Maintain office supplies, including but not limited printer toner, paper and stationary inventory, pantry items including snacks and beverages.
  • Support Principal Attorney to be effective throughout the day, including but not limited to offering beverages and snacks and ensuring their workspace is clean and tidy.

Requirements:

  • Experience in scheduling calendars and office administration.
  • Proficient understanding of Microsoft Office (Word, Excel, Powerpoint) and Google Workspace (Calendar, Google Meet, Contacts, Sheets). Knowledge of CRM’s and CRM implementation and tech savviness a major plus.
  • Working knowledge of Zoom and Google Meet video conferencing software.
  • Skilled in time management to effectively manage multiple tasks and calendars.
  • Flexible and responsive to changes in schedules and priorities.
  • Excellent written and verbal communication skills.
  • Will be required to be in the office five days and have flexibility with hours.
