SCHEDULING AND OFFICE MANAGER

Cammisa Markel PLLC is a renowned New York-based business immigration law firm, located in downtown Manhattan. You would be joining a team of friendly staff and working in a beautiful loft-like office that has ceiling high windows and is filled with sunlight

The Scheduling and Office Manager is an integral part of how we support our clients through maintaining highly personalized service and ensuring the smooth day to day running of our firm’s daily operations.

Key Job Duties and Responsibilities:

  • Calendar management for 2-3 Attorney’s calendars and scheduling their client meetings, the firm’s calendar, including but not limited to, scheduling weekly Team Meetings and internal employee meetings when needed.
  • Analyzing the firms’ schedule capacity vs demand in consultations. Then prioritizing consultations based on their importance, urgency and impact on the firm’s goals.
  • Communicating schedule changes and updates to clients, team members and management.
  • Client document management and delicate handling of confidential client information.
  • Preparing brief, yet high level summaries of client background information for the Attorney, prior to each client consultation.
  • Manage, monitor and respond to phone and email inquiries and follow up on any open or unresolved email inquiries.
  • Ensure all consultation fee payments have been requested and received prior to the client’s consultation.
  • Management of receiving USCIS notices via mail, ensuring notices are scanned and saved in client’s digital and physical file.
  • Management of the office, always cultivating a pleasant, clean, tidy and well-functioning work environment.
  • Meet and greet clients, always giving a nurturing and positive experience, including but not limited to, offering clients beverages and refreshments.
  • Maintain office supplies, including but not limited printer toner, paper and stationary inventory.

Requirements:

  • Experience with complex scheduling, office administration or an executive assistant role.
  • Proficient understanding of Microsoft Office (Word, Excel, Powerpoint) and Google Workspace (Calendar, Google Meet, Contacts, Sheets). Knowledge of CRM’s and CRM implementation and tech savviness a major plus.
  • Working knowledge of Zoom and Google Meet video conferencing software.
  • Skilled in time management to effectively manage multiple tasks and calendars.
  • Flexible and responsive to changes in schedules and priorities.
  • Excellent written and verbal communication skills.
  • Will be required to be in the office five days and have flexibility with hours.
