Role:


As a Service Desk Asset Specialist, you will be responsible for managing the end-to-end lifecycle of hardware and software products, ensuring their efficient deployment, recovery, and inventory. Your role will encompass; product deployment to end users, recovery from end users, warranty renewal management, procurement of hardware and software, hardware recycling and destruction, product selection, asset tagging, and inventory management. You will play a crucial role in maintaining an organized and efficient inventory system. You will also work with our vendors to ensure the timely and cost-effective delivery of products to remote locations. As a member of the ServiceDesk team, you will coordinate with ServiceDesk staff to ensure timely resolution to requests as required.

As a service Desk Asset Specialist, you will play a vital role in ensuring the seamless functioning of the organization’s hardware and software infrastructure. Your attention to detail and commitment to maintaining an efficient inventory system will contribute significantly to the overall success of the credit union.


Work involves extensive communication including, but not limited to, verbal, written and electronic, interaction, and collaboration with people on a daily basis in order to provide exemplary service.



IT Asset and Request Management
• Deploy hardware and peripherals to end users according to established procedures.

• Coordinate shipping and receiving of products to and from remote locations.
• Coordinate the recovery and retrieval of products from end users when required.

• Implement hardware recycling practices in compliance with relevant regulations and policies.

• Oversee hardware destruction processes to ensure secure disposal of sensitive information.
• Work with Service Desk Branch Support personnel as needed to perform required tasks and ensure timely resolutions to requests.

• Prep and Quality Control all computers imaged, before deployment



Product Lifecycle Management
• Propose timely replacements and upgrades during budgeting cycles.
• Conduct cost analysis for lifecycle replacements to optimize budgeting decisions.
• Track and manage warranties for all hardware and software products, ensuring timely renewals and replacements where necessary.

• Maintain strong vendor relationships to facilitate smooth procurement processes.
• Collaborate with vendors to procure hardware and software products, ensuring timely delivery and cost-effectiveness.
• Collaborate with relevant stakeholders to understand business needs and requirements for hardware products.
• Collaborate with IT Enterprise Architecture team and business partners as needed to research and provide recommendations for suitable products that align with the organization’s goals.



IT Asset Management System Owner
• Serve as the primary custodian of the inventory management tool.

• Act as the point of contact to receive product and ensure assets are tagged and added to the inventory system.
• Regularly update the inventory database to reflect asset status and availability.
• Ensure all assets are accurately tagged and recorded in the inventory management system.

• Maintain database accuracy and functionality, ensuring it meets the organization’s requirements.
• Perform and oversee regular audits and inventory sure-up activities to ensure accuracy of inventory system vs. actuals.

• Develop, document, and update Standard Operating Procedures (SOPs) related to ITAM activities.

• Develop, Document, and maintain Standard Hardware and Software Deployment Checklists

• Evangelize ITAM SOPs to other IT employees

• Manage, Maintain, and Act as the Subject Matter Expert for the Jira Assets Hardware and Software Inventory

• Generate and analyze reports on asset utilization, lifecycle status, and other relevant metrics to support decision-making

• Develop custom reports or configuration items in the ITAM tool, as needed, to meet business needs.



Performs other duties as assigned.


Knowledge and Skills:

Experience

Two or more years of similar or related experience. Proven experience in asset management, procurement, and inventory control.

Education

Bachelor’s degree in a relevant field or equivalent work experience.
