Job Summary

We are looking for a candidate with excellent organizational and communication skills to assist in Human Resources tasks for the organization. The HR Assistant supports the HR department in various administrative tasks, ensuring smooth operations and effective employee management. This role involves maintaining records, processing documentation, and assisting in the recruitment process, among other duties.

 

Essential Functions and Basic Duties:

 Administrative Support:

  • Assist with day-to-day operations of the HR functions and duties including payroll or payroll related activities.
  • Provide clerical and administrative support to HR executive.
  • Compile and update employee records.
  • Process documentation and prepare reports relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations, etc.).

Recruitment:

  • Assist in the recruitment process by posting job ads, managing the applicant tracking system, and conducting initial screenings.
  • Schedule and coordinate interviews, background checks, and pre-employment screenings.
  • Assist in onboarding new employees and ensuring they have a smooth integration into the company.

Employee Relations:

  • Handle employee requests regarding human resources issues, rules, and regulations.
  • Support the management of disciplinary and grievance issues.
  • Assist in organizing and coordinating HR events and activities, such as employee engagement programs, training sessions, and team-building activities.

Compliance and Record Keeping:

  • Ensure compliance with labor regulations.
  • Maintain confidentiality of sensitive employee information and adhere to data protection policies.
  • Assist in the preparation of monthly and year-end reports regarding HR metrics.

What We’re Looking For:

  • Bachelor’s degree or equivalent work experience in Human Resources, Business Administration, or related field.
  • Proven experience as an HR Assistant, HR Administrative Assistant, or relevant human resources/administrative position.
  •  Understanding of HR functions and best practices.
  • Strong ability in using MS Office (MS Excel and MS Outlook, in particular).
  • Experience with HR software and applicant tracking systems is a plus.
  • Excellent organizational skills with the ability to prioritize tasks and manage time effectively.
  • Strong communication and interpersonal skills.
  • Attention to detail and problem-solving skills.
  • Ability to handle sensitive information confidentially.
  • Team player with a proactive attitude.
