Supervisor: Manager, Event Planning

General Purpose:

The Event Sales and Planning Specialist supports the goals of the museum and the Event Planning department by producing events from conception through completion for external clients. They will act as the liaison between the clients and all those needed to plan and execute the event (culinary team, vendors, other Museum departments, the service team, etc.) and ensure the delivery of excellent customer service and timely follow-up. They must have enthusiasm for customer service-oriented interactions and a strong orientation towards hospitality.

Duties & Responsibilities:

  • Works with external clients, along with approved vendors, various Museum staff, and service team members to produce events in support of the institution’s goals.
  • Responds to all Wedding and Social rental inquiries, conducts venue tours, and secures bookings to reach revenue goals.
  • Specializes in managing life celebrations for external clients such as weddings ceremonies and receptions.
  • Oversees that processes are executed in a timely manner with accuracy.
  • Utilize event management software to create and complete accurate event orders and floorplans.
  • Works collaboratively with catering team on menus and helps with tastings.
  • Update and distribute event orders and update museum calendars in a timely fashion to ensure cross departmental museum teams have accurate information in order to support events.
  • Manages all aspects of event execution including leading pre-shift meetings of event staff to ensure client expectations are met. Handling client issues that might escalate and require a supervisor for management.
  • Generates billing data with accuracy for record keeping, invoicing, and payments to ensure all required information is delivered to the Finance Department in a timely manner.
  • Supports the venue in the absence of the Manager, Event Planning
  • Ability to work irregular hours and extended shifts including nights, early mornings, weekends, and holidays
  • Ensuring compliance with Museum policies and procedures.
Requirements:

Education/Experience

  • High School Diploma or equivalent required, Bachelor’s Degree Hospitality, Business Administration, Hotel and Restaurant Management, or Marketing preferred.
  • 1-3 years of event experience, preferably planning upscale events such as wedding ceremonies, receptions, corporate, or other social occasions.
  • Experience with event planning and floor plan software strongly preferred.
  • Sales experience in the hospitality field is a plus.

Skills & Abilities

  • Excellent written and verbal communication skills including the ability to effectively communicate before groups, guests, and/or museum staff members.
  • Strong leadership skills to create a supportive and motivating work environment.
  • Good interpersonal skills to identify and establish a purposeful team culture.
  • Ability to recognize diversity issues and appreciate their impact on the workplace.
  • Ability to work irregular hours and extended shifts including nights, early mornings, weekends, and holidays
  • Attention to detail and highly organized.
  • Ability to establish priorities, meet deadlines, and handle numerous assignments concurrently.
  • Capacity to problem solve and think on your feet.
  • Office skills with ability to use standard office equipment and computer with familiarity in productivity tools such as Microsoft Word and Excel, and internet.

Physical Requirements

  • Stand for long periods of time.
  • Occasionally required to lift, carry, push, pull and/or move objects up to twenty-five (25) pounds and up to fifty (50) pounds with assistance.
  • Vision abilities required by this job include close and distant vision and ability to adjust focus.
  • While performing the duties of this job, the team member is regularly required to talk and hear; stand and walk, climb or balance, stoop, kneel, crouch, and crawl. The team member is frequently required to sit, use tools or controls, and reach with hands and arms.
