Office Administrator

The Office Administrator for the Accounting Department plays a crucial role in ensuring the smooth functioning of administrative tasks within the department. This position involves providing clerical and administrative support to the accounting team, facilitating efficient operations, and maintaining organized records. The ideal candidate will possess excellent organizational skills, attention to detail, and proficiency in office software applications.
Responsibilities:
- Administrative Support: Assist in daily administrative tasks such as answering phones, managing emails, scheduling appointments, and coordinating meetings for the accounting team.
- Record Keeping: Maintain accurate and up-to-date records, including financial documents, invoices, expense reports, and purchase orders.
- Data Entry: Enter financial data into accounting software or spreadsheets, ensuring accuracy and completeness.
- Filing and Organization: Organize and maintain physical and electronic filing systems for easy retrieval of documents.
- Correspondence: Prepare and distribute correspondence, memos, reports, and other documents as needed.
- Inventory Management: Monitor and order office supplies, ensuring adequate stock levels for the department.
- Assistance with Financial Tasks: Assist with basic financial tasks such as billing, accounts payable/receivable, and payroll processing.
- Coordination: Liaise with other departments, vendors, and clients as necessary to facilitate smooth operations and resolve administrative issues.
- Compliance: Ensure compliance with company policies, procedures, and regulatory requirements related to administrative tasks.
- Ad Hoc Support: Provide general administrative support to the accounting team as needed, including assisting with special projects or tasks.
Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree in business administration or related field preferred.
- Proven experience in office administration or a similar role, particularly in an accounting department.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) and accounting software (e.g., QuickBooks, SAP).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Knowledge of basic accounting principles is a plus.
