The Operations Maintenance Coordinator is responsible for implementing and maintaining an organized system of tracking and addressing all maintenance and facilities issues from reporting to completion, addressing facilities maintenance repairs and concerns, managing the internal maintenance and facilities support ticket system, assisting in the safe, effective, and economical daily operation of the New York Common Pantry’s buildings systems and equipment, mindful of building and fire codes and regulations and preventive maintenance work.


The Operations Maintenance Coordinator will report directly to the Facilities and Operations Manager. The position will be located at the NYCP Food Warehouse and Distribution Hub location at 1285 Oak Point Avenue. This position will move regularly to the East Harlem location at 8 East 109th Street, New York, NY 10029, as well as occasional travel to other NYCP office locations at 788 Southern Blvd and 1290 Hoe Avenue in the Bronx. The schedule for this position is Monday through Friday, 9 AM - 5 PM, with a 1-hour lunch break, but working hours may vary. This is a full-time, non-exempt position, 35 hours per week, including some weekends.

Responsibilities:

  • Maintain log of all maintenance repairs and requests and completion of requests identified by NY Common Pantry staff and those identified by other users of the building, and work with the Manager of Facilities and Operations, and the Managing Director of Operations, to ensure that necessary work is completed.

  • Manage ticket support system of all maintenance and facilities items that need to be addressed across all (4) locations including repairs, painting, lighting, trash, etc. working with the facilities and maintenance team to coordinate and organize all necessary work.

  • Travel to all NYCP locations, when needed, to address necessary facilities and operations issues. Travel to stores/shops to purchase necessary items needed to address any urgent repairs needed in real-time.

  • Help maintain HVAC Systems, boilers, machinery, equipment, lighting, and electrical, vehicles, and furnishings. This includes ensuring safety, cleanliness, good appearance, and the ability to meet program and operational needs. Research and work with vendors, as needed.

  • Oversee new construction projects, with the assistance of the Manager of Facilities and Operations.

  • Assist with any inspection of NYCP buildings, including roof-tops and grounds, ensuring necessary cleaning or repairs occur, and that the building remains at all times in compliance with fire and other building codes.

  • Make necessary minor repairs and improvements to the building, including painting, machinery, and equipment, plumbing, lighting, and electrical. Inform the Manager of Facilities and Operations and the Managing Director of Operations immediately when major repair work is needed.

  • Assist managers in ensuring compliance with all relevant Fire Department regulations and that all fire alarms, sprinkler systems, and extinguishers are in good working order and inspected regularly. Assist in inspecting buildings for fire hazards and resolve hazards; conducting fire drills and; and ensuring the building passes its annual inspection for Public Assembly permit.

  • Assisting with compliance with all relevant Department of Building and Department of Environmental Protection regulations including proper testing of the building’s elevator, and annual backflow protection device testing.

  • Remain on-call to address emergencies that occur outside of the position's regular schedule.

  • Attend and participate in weekly scheduled meetings.

  • Perform other duties related to the work described herein as directed by the Managing Director of Operations.

  • Other operations, maintenance and facilities responsibilities as assigned.


Qualifications:

  • A minimum of three (3) years of experience in building maintenance is required.

  • An Associate Degree or equivalent is required; An advanced degree is preferred.

  • General understanding of basic plumbing, electrical, and carpentry; Knowledgeable with repair and general maintenance of HVAC systems.

  • Commitment to helping the communities in need and NYCP’s work and mission.

  • Flexible schedule and able to work evenings and weekends and handle emergency calls.

  • Responsible, detail-oriented, and a self-starter.

  • Certificated in Fire Alarm Systems (CAT: S95), Standpipe Systems, Sprinkler Systems, and Low/High PSI Oil Burners are strongly required.

  • Ability to multi-task and work in a highly trafficked area.

  • Strong customer service and interpersonal skills are required.

  • Weekend work may be necessary.
