Title: Birthday Party Coordinator

Position: Part-Time, Non-Exempt

Job Location: Fremont, CA

Reports to: Participant Development Manager

Pay Range: $23.86 - $26.77 per hour


Job Overview

The Party Captain Coordinator, working collaboratively with department Managers and guided by the Participant Development Manager, orchestrates and executes pivotal party planning activities. With meticulous attention to established standards, the coordinator supervises and directs Party Captains, ensuring a seamless and memorable experience for the birthday person, their family, and guests. The emphasis is on providing special recognition to the birthday child, thereby showcasing our exceptional birthday program to all attendees.



Essential Responsibilities


  • Spearheads the comprehensive planning and execution of vibrant birthday parties, encompassing tasks such as engaging with interested clients, securing reservations, procuring essential supplies (including food and beverages), and collaborating with vendors to guarantee optimal event readiness.
  • Create individual party agendas within the framework of the party program, including any special requests.
  • Conduct thorough pre-party briefings with Party Captains to meticulously review timelines and schedule particulars, covering everything from party area setup to guest arrivals, games, off-ice activities, public skate sessions, food service, party departure, and cleanup.
  • Actively participate in birthday parties, supervising Party Captains, and setting a prime example by delivering exceptional customer service.
  • Maintain records and generate reports on birthday party program activities, adhering to allocated budgets.
  • Assists the Participant Development Manager in developing marketing material to promote the business of birthday parties through established methods (i.e., website, database etc.)
  • Leads and directs staff for efficient and professional party execution.
  • Assists the Participant Development Manager with recruiting, training Party Captains; conducts ongoing trainings to ensure the highest levels of service and creativity.
  • Assists with scheduling and food coordination.
  • Perform other duties as assigned.

Preferred Qualifications


  • Excellent customer service skills
  • Minimum age of 18.
  • Required to work nights, weekends, and holidays.
  • Skating experience preferred, But not required
  • Regular, predictable, and punctual attendance is required.
  • Ability to possess dependable transportation.
  • Able to pass a background check with the State of California.
  • Ability to work under general supervision.
  • Ability to work independently.
  • Ability and experience to lead and supervise others.
  • A natural people person who thrives in a dynamic, fast-paced environment, particularly enjoys interacting with children, families, and the general public.
  • Ability to lift up to 50 pounds.
  • Ability to walk and stand for 4-8
