Overview: We are seeking a dynamic and organizedAdministrative Event Coordinator

to join our team in San Francisco. In this role, you will play a crucial part in ensuring the success of various onsite events. Beyond community events, you will be responsible for providing comprehensive support for all onsite events, demonstrating strategic thinking and conscientiousness of your approach. The ideal candidate is not only passionate about creating memorable events but has great judgment and is also skilled in administrative tasks, scheduling, and serving as a facilities host. The position requires onsite availability after hours for events and a commitment to excellence in event coordination and support.



Responsibilities

  • Collaborate with internal teams to understand event requirements and objectives. Plan, coordinate, and execute onsite events, ensuring a seamless and positive experience for attendees.
  • Work closely with our Workplace Manager and Coordinators for successful execution - demonstrate excellent communication skills both written and verbal.
  • Act as the host during events, welcoming guests and ensuring they have a positive and comfortable experience. Oversee the setup and breakdown of event spaces, coordinating with relevant teams for logistics.
  • Assist in vetting, responding, scheduling, and coordinating event-related spaces and activities.
  • Provide administrative support for pre-event planning and post-event wrap up.
  • Be available after hours as needed for events, demonstrating flexibility and commitment to event success. Ensure onsite presence during evening and (possible weekend) events to address any logistical needs.
  • Collaborate with vendors and suppliers to secure necessary resources for events. Manage vendor relationships, ensuring timely delivery and high-quality services.
  • Maintain clear communication with internal teams, vendors, and stakeholders throughout the event planning process. Collaborate with cross-functional teams to ensure all event aspects are well-coordinated.
  • Anticipate and address any issues or challenges that may arise during events, demonstrating quick and affecting problem-solving skills.




Required Qualifications

  • 2-8yrs experience either as Event Coordinator, Administrative Assistant or Executive Assistant supporting company events
  • Proficient in scheduling and coordinating tasks related to event planning.
  • Experience in facilities hosting and overseeing event logistics.
  • Must be able to have a flexible schedule; during events working 3-4 days a week either 12pm-8pm or 1pm-9pm M-F. When no events; can work 9-5 M-F
  • Flexibility to adapt to changing event requirements and timelines.
  • Experience with supporting high volume of events; 3-4 events a week.
  • Ability to schedule your day well and able to provide manager daily updates on the events coming up and the progress.
  • Experience working in a fast paced environment.
  • Must have a proven track record of problem solving and critical thinking ; ability to think on your feet during events.
  • Must have very strong organizational and administrative skills, with attention to detail being key.
  • Excellent communication skills; ability to effectively communicate with vendors, team members and diverse audiences etc.
  • Ability to work collaboratively within a team and across departments.
  • Positive attitude and a willingness to contribute to a vibrant and engaging workplace culture.
