Work Setting: Hybrid (Initial training in-office, followed by a mix of remote and in-office work)

Job Summary:

We are seeking a detail-oriented Payroll Specialist to join our team. This hybrid role involves performing payroll and accounting functions, processing bi-weekly payrolls for multiple states, key-entering payroll data into the payroll system, and verifying the accuracy of figures, computations, and balances. The Payroll Specialist will also prepare Excel reports of various payroll data for use by the management and assist in the disbursement of confirmed payroll.

Key Responsibilities:

  • Assist in processing payroll using PeopleSoft Human Capital Management System (HCM) on a bi-weekly basis for multiple states.

  • Key-enter payroll data into the payroll system, verify the accuracy of figures, computations, and balances, and disburse computed wages, overtime, deductions, taxes, and other withholdings.

  • Act as the primary Payroll contact and handler of temporary agency worker time reporting.

  • Review PeopleSoft setup for new hires and employee transfers.

  • Check employee time reporting for accuracy, ensuring compliance with corporate policies and procedures.

  • Set up state tax withholdings for new hires and employee transfers.

  • Assist in payroll processing compliance with federal and state regulations, including IRS, SSA, Department of Labor, and state/local agencies.

  • Verify and balance PeopleSoft output information for payroll transactions.

  • Communicate effectively with the management and employees on payroll matters, responding to questions and clarifying procedures.

  • Provide input and maintain desk procedures and documentation supporting departmental payroll policies and procedures.

  • Maintain statistical payroll information for use in decision-making and expense control.

  • Run PeopleSoft queries to compile Excel reports on trends, variances, and evaluative statistics for internal accounting and management.

  • Maintain confidential employee payroll records.

  • Perform other duties as assigned.

  • Ensure regular and reliable attendance.

Essential Requirements:

  • Minimum of 2-3 years of payroll or related experience.

  • Proficient in Microsoft Excel for spreadsheet analysis.

Preferred Skills:

  • Experience with PeopleSoft Payroll processing and PeopleSoft Time and Labor or Workday.

  • Full-cycle Payroll experience highly desired

  • Multi-state payroll experience.

Competencies:

  • Technical Skills: Proficiency in PeopleSoft payroll processing, Excel, federal and state payroll regulations, accounting reconciliation, and report development. Ability to maintain pay information confidentiality.
