Primary Purpose:

To maintain an accurate, complete, and up-to-date set of records documenting the Museum’s relationship with its constituents. Ensures that the database is an effective tool for donor stewardship, development and communication.

Essential Functions:

  • Maintains the Museum’s constituent database, working with colleagues across the organization to ensure its accuracy, integrity, and utility.
  • Enters donations (membership, contributions, and pledges) into the database that are received via mail, online or hand delivered.
  • Generates membership cards, acknowledgements, and daily reports in an accurate and timely manner.
  • Prints, reviews, and mails membership renewals and pledge reminders.
  • Maintains database hygiene by regularly running queries of recently added or changed records and updating data as needed. Regularly performs deduplication of records.
  • Scans documentation to constituent records for historical purposes.
  • Runs and sends weekly prospect research reports for the Development team.
  • Reconciles daily donations with the Finance team.
  • Special projects as assigned.
  • Prepares queries/reports for the development and finance teams as requested.
  • Performs other duties as assigned or required.

Required Education/Experience:

Must have 4+ years of database experience. Prior experience in a non-profit setting and BA/BS preferred. Prior Altru experience strongly preferred. Must have strong working knowledge of Windows – Microsoft Office, Word, Excel, Internet Explorer, and Outlook. Strong communication skills, both oral and written are required. Must be able to interact with staff, board members, and volunteers of different levels and backgrounds. Must have exceptional organizational skills with a pleasant and positive attitude. Must have strong detail orientation, be hard working, and able to work quickly and efficiently with time sensitive material, while balancing multiple conflicting priorities. Must be able to maintain absolute confidentiality.

Working Conditions:

This position will work in a busy environment, subject to frequent interruptions, and will interface regularly with the public.

Physical Requirements:

Must be able to lift and carry file boxes and other awkward items weighing up to 25 lbs, including up and down stairs. Requires intermittent standing, walking, sitting, squatting, stretching, and bending throughout the workday. Must be able to see and hear, or use prosthetics that will enable these senses to function adequately to assure that the requirements of this position can be fully met.
