Overview:

We are seeking a highly skilled and organized Executive Assistant to support the CEO of a prestigious tech company and senior executives at individual businesses within the tech office. In this role, you will be working in a dynamic and multi-faceted environment where you will engage with diverse projects and responsibilities across different business sectors, adapting to varied needs and priorities. This role requires a proactive and resourceful individual with experience in managing executive-level responsibilities in a fast-paced environment.


The position is based in Gaithersburg, MD, and the selected candidate must be available to work In-Office only with core hours from 9AM to 5PM EST, Monday through Friday.


Key Responsibilities:

  • Provide comprehensive administrative support to the CEO and other senior executives, including managing calendars, scheduling meetings, and coordinating meetings/events.
  • Serve as the primary point of contact between the executives and both internal and external stakeholders, handling confidential information with discretion.
  • Prepare agendas, take detailed meeting minutes, and ensure that executives are well-prepared for upcoming meetings.
  • Draft, edit, and review correspondence, reports, and presentations. Organize and maintain files and documents for easy access and retrieval.
  • Coordinate executive travel logistics, including itineraries, accommodations, and transportation. Assist with planning and executing events, both business and personal, for the CEO and executives.
  • Support the daily operations of the tech office, ensuring a seamless flow of communication and information across departments and business units.
  • Assist with special projects as assigned, tracking deadlines and ensuring follow-through on tasks and deliverables.
  • Act as a liaison between the tech office and various stakeholders, including clients, vendors, and business partners.
  • Other duties as needed.


Qualifications:

  • 2-5 years of experience as an Executive Assistant, preferably in a multi-faceted office or high-net-worth environment.
  • Strong organizational skills with a keen attention to detail and ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and other office softwares.
  • Excellent verbal and written communication skills, with the ability to interact professionally with senior executives and external stakeholders.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Proven ability to work efficiently under pressure and manage time effectively in a fast-paced environment.
  • Must be able to work in-office in Gaithersburg, MD, and have reliable transportation.
