Job Overview:

The administrative assistant is an individual with a background working in professional membership associations (preferred). This team member will be the face of our organization, the integral frontliner who interacts directly with members and external and internal customers on a daily basis, providing them with top-notch service and support.

Responsibilities of the Administrative Assistant:

  • Perform general office administrative duties such as typing, copying, filing, binding, scanning, printing, collating, and setting up for meetings.
  • Promptly answer phone calls/emails to the general line/account, handle general inquiries regarding association business, route calls/emails as needed to the appropriate party.
  • Maintain and update member database records, process monthly membership renewal notices, prepare monthly membership list for regional executive board members.
  • Assist with event inquiries and registrations.
  • Fulfill customer product orders, maintain product inventory, serve as key contact to product vendors and run reports as needed.
  • Receive, sort, and distribute mail daily; process outgoing mail as needed.
  • Coordinate travel arrangements for executive director and other staff members as needed.
  • Ensure optimal operation of office equipment by completing preventive maintenance checks, calling for repairs and maintaining adequate equipment supplies.
  • Maintain office supplies inventory.
  • Help organize and maintain office common areas.
  • Maintain polite, professional communication standards at all times.
  • Handle sensitive information in a confidential manner.
  • Perform other duties as assigned.
  • Provide support as needed at the annual Seminar every July (travel required).

Requirements of the Administrative Assistant:

  • Two or more years of experience as an administrative assistant, with emphasis on providing excellent customer service to internal and external customers.
  • Excellent customer service skills via phone, email and in person.
  • Proficiency in Microsoft Office products (Word, Excel, PowerPoint, Outlook, OneDrive, Teams) is required.
  • Proficient in navigating the Internet and the use of virtual meeting/event platforms (Zoom, Google Meet, Teams).
  • Working knowledge of an AMS (association management systems, e.g., Euclid ClearVantage) is a plus.
  • Excellent written and verbal communication skills.
  • Strong organizational skills, attention to detail, and time management skills.
  • Ability to prioritize work, solve problems, and work with limited supervision.
  • High school diploma or GED equivalency is required.
