Department Description
Job Summary
Under general supervision, provides advanced and comprehensive academic advising and support services of diverse scope and complexity for approximately 450 undergraduate students. Responsible for interpreting, analyzing and implementing a wide variety of Academic Senate regulations and administrative policies in evaluating student petitions, assessing individual academic performance and progress toward satisfaction of degree requirements. Analyze and solve complex academic problems and refer students to campus community resources. Evaluate and approve transfer credits. Provide support for undergraduate program reviews, course approvals, catalog updates and related activities. Plan/coordinate undergraduate workshops, seminars, and conferences. Present at seminars, workshops, conferences, and training opportunities to support students.

Minimum Qualifications

- Bachelor‘s degree in related field or equivalent combination of education and experience.
- Experience advising undergraduate students in a university environment, including degree requirements and mandatory advising system to prepare official major certifications, assisting with, guiding and tracking students academic plans.
- Experience with university, college, major, design, and general education requirements and their application to specific programs of major and automated student information systems.
- Experience maintaining confidentiality of student records and knowledge of State and Federal Laws governing confidentiality of student records and University policies regarding Privacy of information.
- Skills to clearly and effectively interact with individuals of varying ages and cultural backgrounds and perspectives and to make public presentations, both formal and informal.
- Analytical critical thinking and problem-solving skills to identify and determine appropriate level of advising or referral services for domestic and international students, providing immediate crisis counseling, including students in academic, financial, or personal difficulty.
- Skills using a variety of computer software, including but not limited to word processing, spreadsheets, databases, email, and web browsers, and ability to develop, organize and maintain complex record keeping systems.
- Mathematical skills to add, subtract, multiply, divide and to determine percentages, ratios and estimates.
Preferred Qualifications
- Experience preparing, submitting and maintaining department course offering using online scheduling and online evaluation applications and working with University course registration procedures
- Knowledge of UC Davis applications, including BANNER, Student Portal System, DESII, Decision Support, OASIS, etc.
- Knowledge of food science and viticulture and enology as it relates to students pursuing undergraduate study.
- Skills to obtain, correlate and analyze data and develop statistics from a variety of sources; and to retrieve and assemble information for the preparation of reports, schedule, correspondence, etc.
- Knowledge of admission criteria for new students and articulation agreements with other university/college, transfer, and international institutions and the applicability of credit from these institutions
Key Responsibilities
- 70% - Undergraduate Advising
Apply advanced academic advising concepts for undergraduate majors in Food Science, Agricultural and Environmental Technology, and Viticulture & Enology. Independently provide one on one academic advising for prospective, new, transfer, continuing & part-time students regarding academic progress, choice of classes in the major, and completion of university, college & major/minor requirements. Assess students‘ academic progress towards satisfying major & minor requirements. Advise students facing complicated/unusual issues impacting performance, time to degree, or post graduate options. -Identify low/high GPA students in the major. Determine barriers, distractions, and complications affecting a student‘s academic success, help students recognize these key non-academic issues, and make appropriate referrals for additional therapeutic counseling and / or assistance from master advisors & other resources. Analyze patterns of poor performance, assesses student perceptions of contributing factors & develop strategies for academic success or transfer. Primary contact for program advising for international & transfer students. Assess/advise transfer of junior college credits. Train peer advisors. Advise students interested in studying abroad. Provide guidance on course selection as it pertains to the major; facilitate the process between student & faculty to evaluate courses from abroad for comparability/equivalency. Advises students on a wide range of course possibilities and / or ways to complete degree requirements that may not be clearly defined. Advise student athletes; collaborate with Athletics Dept regarding NCAA regulations & Registrar‘s Office to verify the completion of the athlete‘s degree requirements.
- 15% - Admissions & Academic Services
Evaluate substitutions/waivers from academic requirements; make recommendations on approval/denial to Master Advisors/faculty. -Evaluate domestic & international applications; make recommendations to Master Advisors/faculty on transfer admission decisions based on established criteria. -Provide analysis, make recommendations to Dean‘s Ofc., Master Advisor & faculty on complex transfer credit issues; analyze and make recommendations related to admission/readmission. -Review students‘ work, course descriptions/syllabi suggesting equivalencies. -Evaluate/articulate academic transcripts from other institutions. -Evaluate, approve & make recommendations to Master Advisors/Dean‘s Ofc. to approve credits from out of state 4-year & international institutions. -Assess individual academic performance & progress toward satisfaction of degree requirements; provide delegated authority to certify completion of major or degree. Confirms that students have met requirements for degree completion when there are no clear precedents or articulations, such as interdisciplinary programs or when transfer work is involved.
- 10% - Program Development and Accreditation Program Management
Advise and make recommendations on special eligibility requirements such as Honors programs / fellowships / scholarships. . -Initiate new/revised course requests through ICMS. -Serve on the Undergraduate Study/Teaching Committee. -Oversee design of undergraduate student informational material & catalog. Participates in planning academic curriculum in collaboration with chair and faculty, and with other departments, to ensure student‘s progress through course sequences, avoid conflicts, and ensure compliance with organization-wide policies. In consultation with Master Advisor, manage continuous quality improvement process for the Food Science undergraduate major, as required by IFT. -In consultation with Master Advisor, manage continuous evaluation process that examines departmental curriculum, ensures achievement of program objectives and outcomes, incorporates results into program improvements. -Manage student files; alumni, senior and faculty surveys; employer surveys; & detailed/complex data on each course offered. - Analyze data from constituencies & present info. to faculty committee. -Review/revise assessment tools & assessment process. -Assist & prepare interim accreditation reports/responses.
- 5% - Outreach & Event Planning
Represent department at outreach/recruitment functions. -Plan/coordinate undergraduate workshops, seminars & conferences. -Present at seminars, workshops, conferences, training opportunities to support students
Department Overview
This is a critical position with management for undergraduate student support in the Departments of, Food Science & Technology and Viticulture & Enology, which are in the College of Agricultural & Environmental Sciences and in the Agricultural Experiment Station, and the Department of Biological and Agricultural Engineering, which is in the College of Agricultural & Environmental Sciences and College of Engineering. Combined, these departments have ~60 faculty members and administer three undergraduate programs: Food Science (B.S. degree with two emphasis areas); Agricultural and Environmental Technology (B.S. degree with three tracks and three emphasis areas) and Viticulture & Enology (B.S. degree).

Physical Demands
