Job Summary:  Our locally owned and operated propane business is growing and we need more support to sustain with this growth The Propane Department Coordinator is responsible for overseeing the daily operations of the propane department and ensuring efficient and safe delivery of propane services to our customers. This role involves answering the phones, handling customer inquiries, coordinating deliveries, and ensuring compliance with safety regulations. This position also will assist with and support other departments of the company as needed.


Key Responsibilities:


1) Customer Service:

  • Answer incoming phone calls and address customer inquiries and concerns promptly and professionally. Transfer calls to other associates in other departments as appropriate.
  • Provide accurate information about company services, pricing, and safety.
  • Handle customer accounts, including account set up, payment options, and account maintenance.


2) Operations Management:

  • Coordinate and schedule call in and automatic keep fill propane deliveries to ensure timely service and efficient deliveries.
  • Monitor and manage customer propane inventory levels utilizing our remote tank monitors. Manage our remote tank monitor system.
  • Coordinate with customers and propane technicians for propane tank and gas piping installations and repair including quoting, permitting, scheduling, and billing.


3) Compliance and Safety:

  • Manage propane safety compliance such as customer system safety check documentation, out of gas inspections, and Duty to Warn annual mailings.
  • Handle customer out of gas or leak concern calls and coordinate with propane technicians to respond and document appropriately.
  • Maintain detailed records of safety inspections, incidents, and resolutions.


4) Team Work:

  • Support propane delivery drivers and technicians by being their primary point of contact in the office.
  • Support other office associates by helping with call in fuel orders, walk in customers, and other basic duties for our other departments.
  • Foster a positive and collaborative team environment.
  • Collaborate with other departments to streamline operations and improve service delivery.


Qualifications:

  • High school diploma or equivalent; some college or earned degree helpful.
  • Professional, friendly demeanor. 
  • Excellent organizational and time-management skills.
  • Strong verbal and electronic communication and customer service skills.
  • Proficiency in Microsoft Office Suite and experience with back office inventory and customer relationship software.
  • Experience in propane or related energy services a plus, but not required.


Working Conditions:

  • Ability to work in a customer service focused environment and handle multiple tasks simultaneously.
  • Desk and computer based office role.
  • Monday through Friday, 7:30-4:30 excluding holidays with 1 hour lunch break. Limited overtime required or available.
