Schedule: Monday - Friday, 8 am - 4 pm 

Rate of Pay: Starting salary of $26.50 per hour with opportunities for salary increases at the 12-month mark.

Role Description 


Namchak is looking to hire an office administrator who is service-oriented and understands the importance of this role in anchoring culture. We are looking for a long-term candidate who thrives in an administrative role and engages in a wide variety of professional tasks. The ideal candidate is personable, organized, and reliable. 

The Office Administrator is the first person staff and visitors meet upon arrival at the office, setting the tone for their experience. They play a crucial role in ensuring the smooth operation of our office and cultivating a welcoming environment.

The ideal candidate has three or more years of office support experience, is technologically savvy with tools like Slack and Google Workspace, has excellent communication skills, and can work independently with discretion. This position will require a functional/dependable vehicle that the employee will use frequently (mileage reimbursements are available).

Duties of the Office Administrator 

Front Office Management


  • Welcomes and offers assistance to visitors with a friendly and professional demeanor.
  • Manages the reception area, ensuring it is tidy and welcoming.  
  • Handle incoming phone calls, emails, and correspondence, directing to the appropriate personnel.
  • Answer questions from the public.

Office Operations 


  • Handles incoming and outgoing mail, including drop-off and pick-up at the UPS Store.
  • Maintains office supply inventory: Procures and stocks items such as coffee, tea, snacks, paper, pens, and other essentials for the office.
  • Manages and organizes the office kitchen, including purchasing and stocking food and drink items, as well as running and emptying the dishwasher. 
  • Ensures the office environment is clean, organized, and pleasant.
  • Waters the plants in the common areas.
  • Serves as the primary point of contact with the office cleaning company.
  • Interfaces with outside organizations for deliveries and pickups.
  • Manage and organize storage units, including maintaining key control.

Project Assistance


  • Supports ranch and retreat operations by running errands for Namchak Retreat Ranch.
  • Researches and gathers information on specific projects as requested.
  • Assists with various ad hoc projects as assigned.

Administrative Support


  • Maintains the shared team calendar using Google Workspace.
  • Coordinates and compiles routine reports.
  • Provides administrative support to management, such as scheduling meetings and updating calendars. 
  • Provides a weekly administrative summary report to management.


Office Event Coordination 


  • Prepares the conference room for meetings, including arranging catering and lunches.
  • Prepares travel arrangements and coordinates schedules for staff gatherings.
  • Coordinates catering, venue, and support staffing requirements for internal events. 
  • Facilitate staff birthday celebrations and other special events

Qualifications & Skills

  • Minimum of 3 years of experience in a supportive role in an office setting.
  • Excellent written and verbal communication skills.
  • Ability to work independently and exercise judgment with limited supervision.
  • Minimum typing speed of 50 words per minute.
  • Technologically savvy; experience with Slack, Google Workspace, Zoom, and calendar management.
  • Skillful in handling confidential information with discretion.
  • Highly organized with strong problem-solving and analytical skills.
  • Bachelor’s degree or higher (preferred, not required).

Namchak is dedicated to sharing one of the oldest forms of Tibetan Buddhist practice and making the teachings newly accessible to Westerners. We serve individuals on every step of the path, from those exploring meditation for the first time to more experienced practitioners. Students learn from Tibetan and Western teachers and receive support from a vibrant community. We offer various learning programs, including in-person teaching, small group learning, bi-coastal retreats, online courses, and soon-to-be-established residential retreats at the Namchak Retreat Ranch in Montana. In the coming years, we will offer everything from introductory retreats to Dzogchen, the most profound practice in our tradition, and weekend retreats to the traditional three-year retreat.
