OBJECTIVE:  The operations admin will work with the office team to complete clerical, administrative, & general office tasks that support the entire construction team.

RESPONSIBILITY:
1. Prepare and enter change orders, purchase orders, and subcontracts into PM and accounting software.
2. Execute clerical and general office duties such as setting up filing systems, data entry, typing, copying, and other administrative tasks for special projects as requested.
3. Assist with the coordination of documentation of drawings and project details etc., as required to maintain efficient build process and communication.
4. Maintain organized information for projects, via PM software.
5. Answer incoming phone calls and respond to emails in a professional way.
6. Assist office manager/accounting with month end invoice processing that is either missing a PO or contract or is outside of budget.
7. Keep Operations/Estimator informed of any contracts or PO’s that are overbudget.
8. Assist with job start duties: a. Organizing paperwork. b. Scanning contract into PM Software and Accounting records. c. Filing contract into estimating book and Job management software.
9. Prepare, and send purchase orders timely and accurately according to schedule and lead times.
10. Assist Operations with gathering all pertinent information needed for both Job Site and Framer’s book for Project Manager prior to handoff.
11. Enter Change Orders into PM Software for client approval.

QUALIFICATIONS:
  • High School Diploma or equivalent is required, additional college such as an associate degree or bachelor’s degree is very valuable.
  • 3 years of administrative experience is preferred - previous administrative duties in a busy construction office is ideal.
  • Familiarity with the construction industry is desired, but not required.
  • Excellent time management, organization, and communication skills are needed. Proficient in computer skills, especially MS Office (Word & Excel)
  • Experience with construction software, a plus.
