Job Description Summary
Primarily provides clerical and administrative support to the Cahuilla Mentor-Apprentice Program (CMAP) department while providing additional support to the Tribal Administration department. CMAP department oversees the delivery of a 4-year adult language immersion program designed to create new language teachers and practitioners to assist in the revitalization of the Cahuilla language.
Essential Duties and Responsibilities (other duties may be assigned)
While assisting the CMAP Department
- Submit timesheets for CMAP program participants.
- Assist program participants with travel arrangements for conferences and trainings, and submission of expense reports.
- Assist with planning and scheduling of monthly community language classes and other outreach events.
- Assist with planning and scheduling of participant workshops and administer presenter contracts and payments.
- Assist with the creation of posters, flyers, and other learning materials. Other duties as assigned.
While assisting Tribal Administration
- Produce and edit a wide range of documents using a variety of software. Copy, distribute and file as required, while maintaining a professional and secure work station.
- File and retrieve documents, records, and reports.
- Prepare responses to correspondence containing routine inquiries prepare and edit correspondence, communications, presentations and other documents
- Conduct research, assemble and analyze data to prepare reports and documents
- Draft internal and external communication relating to department projects.
- Assists in the tracking and reporting of department expenditures.
- Open, sort, and distribute incoming correspondence, including email.

- Must adhere to all Tribal Ordinance, Regulations, System of Internal Controls, and Standard Operating Procedures.

Qualifications
Education and/or Experience
- High school diploma or GED.
- Associates Degree in Business Administration or equivalent preferred.
- A minimum of 3 years experience at an Administrative Assistant level or higher or any combination of education, training or experience that provides the required knowledge, skills and abilities.
- Must have good PC skills with intermediate ability to use MS Office Suite, including MS Word, Excel, PowerPoint and Project.
- Ability to comfortably use and learn new technologies and equipment (e.g., Smartboards, laptops, iPads, etc.).
- Strong English written and verbal communication skill set. Ability to relate to all levels of management, Tribal Membership, visitors and employees in verbal/written form.
- Preferred competency in graphic design programs such as Adobe Photoshop, InDesign, Illustrator, and Canva.
- Ability to organize/prioritize work, meet deadlines, work with minimal supervision and multiple interruptions.
- Ability to work independently on assigned tasks with minimal supervision
- Preference will be given to candidates that have some level of competency in, or knowledge of the Cahuilla language.
Working Conditions/Physical Demands
To perform this job successfully, the individual must be able to stand, move and work throughout the office area and properties, including walking up to 1 ½ mile, climbing stairs and sitting at a desk/work station for the duration of the shift. Must be able to work in a smoke filled environment.
Typically, the individual will be housed in an office environment. The noise level in the work environment is usually moderate, but will escalate when located in the casino environment. Must be able to grasp, bend, lift and/or carry or otherwise move goods weighing a minimum of 25 lbs. on an intermittent basis, and sufficient dexterity of hand in order to use office equipment including, but not limited to: a computer keyboard, calculator, general office equipment and multi-line telephone.Learn More
