SUMMARY

Performs professional level work assisting the Utilities Department in the administration of projects and processes, performs administrative support duties as well as technical duties requiring considerable proficiency and accuracy; demonstrates strong customer services skills. This position reports to the Director and/or designee.

ESSENTIAL JOB DUTIES

The following duties are normal for this position.

  • Assist with the management of department contracts and their renewal.
  • Responsible for tracking and issuing failed notices from the cross-connection program
  • Manage the online presence and paper press releases of the Department including but limited to, maintaining up-to-date information on the Village website, preparing and posting news briefs, monitoring and responding to online resident comments, and monitoring and responding to social media activity (Facebook, Nextdoor, etc.).
  • Prepare and follow up on work orders for Department.
  • Organize all aspects and logistics of Department sponsored events and community group use of meeting spaces.
  • Create and maintain an administrative filing and electronic record keeping systems in accordance with Village Policies and government regulations
  • Manage all paperwork relating to scheduling, hiring, performance reviews and termination.
  • Coordination of the timely completion of annual department performance evaluations
  • Assist with the design and implementation of office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
  • Backup to purchasing clerk for the department

MINIMUM QUALIFICATIONS

High School graduate or GED supplemented by three (3) years of progressively responsible professional experience in an administrative role. Bachelor's Degree or Associates degree from an accredited college or university preferred or an equivalent combination of training and experience in project management.

Possession of a valid Florida Driver License.
KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent time management and organizational skills with strong attention to detail.
  • Ability to establish and maintain effective working relationships with diverse employees and the public and ability to communicate effectively with diverse constituents and staff at all levels both orally and in written form.
  • Experience creating reports and generating statistics.
  • Experience with budget management and basic fiscal operations.
  • Knowledge of Internet software, Microsoft Excel and/or Access, Word Processing, and Power Point.
  • Ability to handle confidential and sensitive information with discretion and tact.
  • Ability to maintain effective working relationships with coworkers, officials, administrators, and the public.
  • Ability to communicate effectively orally and in writing.
  • Ability to work independently as well as collaboratively in a positive team environment.
  • Ability to adapt to constantly changing priorities in managing a wide range of projects.

PROBATION:
All positions serve a one (1) year probationary period

HOLIDAYS:
We have 13 paid holidays per year. Police Holiday is paid or comp'd at ten (10) hours for holiday except birthday which is at 8 hours. Birthday is an additional paid holiday but must be requested approved by supervisor, and taken in the same week as the birthday occurs.

PERSONAL LEAVE TIME:
Accrues weekly from hire date at the rate depending on length of time in service. PLT may be used, paid, after six (6) months.
