Trade Show Specialist

We are seeking a dynamic and detail-oriented Trade Show Specialist to join our team and contribute to our growth by managing our presence at industry conferences and events.


Position Summary:

The Trade Show Specialist will play a critical role in executing our conference and trade-show strategy. This individual will be responsible for coordinating all aspects of our industry conference schedule, including staffing, travel, accommodation arrangements, vendor agreements, and communication with event hosts. Additionally, the Trade Show Specialist will assist in the planning and execution of our annual Synergy conference, ensuring a seamless experience for all attendees.

Key Responsibilities:

  • Conference and Trade Show Coordination:
  • Plan and manage the company’s presence and brand activation at industry conferences, trade shows, and other events.
  • Coordinate staffing, travel, and accommodation logistics for team members attending events.
  • Manage vendor agreements and contracts, ensuring all services are delivered as agreed.
  • Handle shipping and receiving of event collateral, including marketing materials, booth displays, and promotional items.
  • Maintain regular communication with event hosts, ensuring all logistical details are confirmed and any issues are promptly addressed.
  • Develop and adhere to event budgets, tracking all expenses and ensuring cost efficiency.
  • Synergy Conference Assistance:
  • Support the planning and execution of the annual TradePMR Synergy conference.
  • Assist in the coordination of event logistics, including registration, speaker arrangements, and attendee communications.
  • Collaborate with internal teams to ensure that all aspects of the event are aligned with company goals and branding.
  • Monitor and manage event timelines, ensuring all tasks are completed on schedule.
  • Marketing and Communications Support:
  • Assist in the development of event-related marketing materials, including brochures, email campaigns, and social media posts.
  • Coordinate with the design team to ensure that all collateral meets company standards and effectively communicates our value proposition.
  • Provide post-event reports and analysis, including attendee feedback and return on investment (ROI) metrics.

Qualifications:

  • Bachelor’s degree in Marketing, Communications, Event Management, or a related field.
  • 2+ years of experience in event planning, trade show coordination, or a related role, preferably in the financial services industry.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with a focus on building and maintaining relationships with vendors, clients, team members, and C-Suite leadership.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
  • Ability to work under pressure and meet tight deadlines.
  • Willingness to travel as needed for events and conferences.
  • Adhere to internal processes and procedures

Preferred Qualifications:

  • Experience working with RIAs or in the financial services industry.
  • Familiarity with conference and trade show best practices.
  • Strong analytical skills, with the ability to assess event success and identify areas for improvement.
