**Position Overview:**

The Administrative Assistant will play a crucial role in providing comprehensive support to the COO, CFO, and Chief of Staff. This role is ideal for someone who is detail-oriented, resourceful, and skilled in managing a variety of tasks. The successful candidate will handle a wide range of administrative duties, allowing our executives to focus on strategic priorities and key business activities.

 

**Key Responsibilities:**

 

1. **Executive Support:**

  - Manage and prioritize schedules as instructed by the Chief of Staff including coordinating meetings, appointments, and travel arrangements.

  - Prepare and organize various types of materials.

  - Take minutes during meetings and ensure timely follow-up on action items.

  -Work as a liaison between parties within the organization. 

 

2. **Document and Project Management:**

  - Assist in the preparation and processing of financial reports, presentations, and other documentation.

  - Manage and track project deadlines and deliverables, ensuring timely completion of tasks.

  -Coordinate printing of various types of leases on a monthly basis. 

 

3. **Office Administration:**

  - Oversee office supplies and equipment, ensuring the office environment is well-maintained and efficient.

  - Handle various administrative tasks such as filing, data entry, and maintaining records.

 

4. **Special Projects:**

  - Support the execution of special projects as directed by the COO, CFO, and Chief of Staff.

  - Conduct research as needed by the CFO. 

 

5. **Confidentiality and Compliance:**

  - Handle sensitive information with discretion and maintain confidentiality at all times.

  - Ensure adherence to internal policies and procedures.

 

**Qualifications:**

 

- Bachelor’s degree or equivalent experience in business administration, finance, or a related field.

- Minimum of 2 years of experience in an administrative support role, preferably within a family office or similar environment.

- Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.

- Excellent written and verbal communication skills.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.

- Ability to work independently and as part of a team, demonstrating initiative and problem-solving skills.

- Strong attention to detail and commitment to accuracy.

- Adaptable and able to thrive in a fast-paced, evolving environment.

 

**Additional Information:**

 

- This role will sit in the new office 5 days a week.
