Compliance Administrative Assistant

We are looking for a detail-oriented and organized Compliance Auditor Administrative Assistant to support our compliance team. As the Compliance Auditor Administrative Assistant, you will assist in the implementation and maintenance of an effective compliance program for the law firm. You will provide administrative support to the Compliance Auditor, help monitor and assess the firm's adherence to legal requirements and internal policies, and assist in conducting audits and risk assessments. Additionally, you will support the development and delivery of compliance training programs, help investigate compliance concerns, maintain accurate records of compliance activities, and assist in advising on policy development and revision to enhance compliance.
To be successful in this position, you should have strong organizational skills, attention to detail, and the ability to handle confidential information with discretion.
Essential Duties and Responsibilities:
Administrative Support:
- Provide administrative support to the Compliance Auditor and the compliance team.
- Schedule and coordinate meetings, appointments, and audits.
- Prepare and maintain documentation, reports, and records related to compliance activities.
Compliance Monitoring:
- Assist in monitoring compliance with local, state, and federal laws, as well as industry regulations.
- Help track changes in laws and regulations affecting the firm’s operations.
Policy Support:
- Assist in the development, review, and update of firm policies and procedures to ensure compliance.
- Support the training of staff on compliance policies and procedures.
Risk Management Support:
- Help identify and assess potential compliance risks.
- Assist in developing and implementing strategies to mitigate identified risks.
Audit Assistance:
- Assist in conducting regular audits to ensure compliance with internal policies and external regulations.
- Help monitor the effectiveness of compliance programs and recommend improvements.
Incident Management:
- Support the investigation of compliance-related incidents or breaches.
- Assist in reporting findings and recommending corrective actions to prevent future occurrences.
Training and Education Support:
- Assist in developing and conducting training programs for staff on compliance-related topics.
- Help foster a culture of ethical behavior and compliance throughout the firm.
Communication:
- Act as a point of contact for compliance-related inquiries from staff.
- Assist in communicating compliance updates and issues to senior management and staff.
Qualifications:
- Associate’s degree in business administration, Legal Studies, or a related field (Bachelor’s degree preferred).
- Previous experience in an administrative support role, preferably within a compliance or legal environment.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Proficient in Microsoft Office Suite and other office management software.
