Position Overview:

This role is pivotal in overseeing and optimizing the firm’s daily operations, ensuring efficient project management and workflow, and taking responsibility for all administrative functions. You will be responsible for budget management, staff supervision, policy formalization, and HR functions, including hiring, training, and performance evaluations. As a leader within the firm, you will actively participate in partner and executive meetings, supervise financial affairs, and ensure compliance with accounting controls.


The ideal candidate will modernize office procedures, enhance workflow efficiencies, and lead initiatives to improve project turnaround times, client satisfaction, and administrative effectiveness. You will serve as a key resource for team members, ensuring optimal use of the firm’s technology and managing the tracking and progress of ongoing projects.


Key Responsibilities:

  • Oversee the firm’s daily operations, reporting directly to the managing partner
  • Manage accounting functions, project tracking, and staff supervision
  • Lead recruitment, onboarding, and training of both administrative and accounting staff
  • Develop and administer annual budgets, manage office supplies, equipment, and space
  • Ensure compliance with accounting controls and tax procedures
  • Handle billing, collections, and project management using the firm’s software
  • Supervise client information, ensuring accuracy and timely delivery of projects
  • Generate management reports and communicate with partners regarding project statuses
  • Lead client outreach, manage returns and financial statements, and ensure compliance
  • Continually seek opportunities for streamlining processes and enhancing client service
  • Take ownership of administrative functions, allowing partners and tax preparers to focus on client work


Qualifications:

  • 5+ years of experience in a CPA or EA firm
  • Strong project management and tracking skills
  • In-depth knowledge of accounting terms, tax forms, engagement letters, and financial reports
  • Proficiency in Microsoft Office Suite and familiarity with QuickBooks
  • Excellent leadership, communication, and organizational skills
  • Ability to implement and monitor workflow improvements using firm technology
