The IP Associate will support the Chief IP Officer and the Managing Director, Patent Legal Staff in the management of the Company’s worldwide patent and trademark portfolios as well as provide technical and administrative support to attorneys and internal clients in all aspects of patent and trademark matters. In addition, the Intellectual Property Administrative Associate will provide administrative and other general support to the Company’s legal department.

Position Location: Rochester, New York

Responsibilities:

  • Support the management of the worldwide trademark docket to ensure all deadlines are met.
  • Assist with the coordination of various legal aspects of the patent and trademark portfolio’s worldwide prosecution and maintenance, interacting with local agents, internal business representatives, management, and governmental entities as necessary.
  • Work closely with the Chief IP Officer and trademark counsel regarding the Company’s trademark enforcement efforts, and defenses against third party assertions, oppositions etc., as well as with legal issues associated with the Company’s and third parties’ domains, copyrights, and other areas of intellectual property.
  • Support the Managing Director, Patent Legal Staff in monitoring, updating, and maintaining the patent tickler and docketing system.
  • Assist with the generation of reports regarding file histories, PAIR inquiries, and patent status inquiries.
  • Assist with U.S. patent preparation, prosecution and filing support tasks.
  • Provide post-patent filing assistance to patent operations.
  • Assist the Legal Department in providing administrative support on legal matters to the Company’s businesses, the Brand Licensing Organization, and other legal functions.
  • Other areas of responsibility include managing databases of IP assets and standard commercial contracts.
  • Assist in other areas within the legal function that may be delegated from time to time by the Chief IP Officer or trademark counsel.


Job Requirements:

  • A minimum of 1 year experience supporting an intellectual property law department
  • High school diploma or equivalent, college degree preferred.
  • Proficient with Microsoft Office, primarily Word, Excel, and PowerPoint
  • Considerable discretion, independent judgment, and tact along with the utmost level of professionalism, trust and confidentiality in understanding the nature of the materials and their appropriate handling and management
  • Excellent interpersonal skills that enable effective, professional, and comfortable communication and interactions with all levels of management and employees, both internal and external, and outside counsel
  • Close attention to detail, strong organizational and project management skills, and ability to multi-task and meet deadlines
  • Ability to think and work independently in a fast-paced environment utilizing superior organization skills, maintaining a high level of confidentiality and flexibility in the work schedule based on business demands
